The Administrative Assistant provides critical office management, financial tracking, HR support, and day-to-day administrative support to the County Extension Director and programmatic staff at the North Carolina Cooperative Extension - Surry County Center. Operating with a high degree of independence and minimal supervision, this role ensures smooth office operations, handles multi-source budget management, manages digital communications and social media, and provides exceptional customer service to county residents and internal staff. |

Financial & Budget Administration
- Track, report, and monitor expenditures across complex funding sources, including county, state, and grant budgets, ensuring strict compliance with spending policies.
- Assist the County Extension Director with annual budget preparation and financial forecasting as needed.
- Process electronic travel reimbursements, leave records, and financial reporting data.
Office Operations & Administrative Support
- Provide high-level administrative support to the County Extension Director and Extension Agents with minimal supervision.
- Manage physical and electronic filing systems, including setup, maintenance, and secure information retrieval.
- Handle general office logistics, including inventory management, purchasing, and maintaining office supplies.
- Process incoming and outgoing mail, including managing mass mailings.
- Serve as the primary Computer Contact and manage office leave systems.
Customer Service & Public Relations
- Serve as the primary point of contact for call-in and walk-in clientele, answering detailed inquiries and directing visitors to appropriate staff or programs.
- Deliver exceptional internal customer service to agents and staff within the office.
- Update and maintain the Surry County Center website and active social media accounts.
- Design and develop promotional materials, newsletters, and marketing content for public events.
- Organize, coordinate, and assist with recurring and special educational events.
Human Resources Support
- Assist with basic Human Resources tasks and maintain strict confidentiality regarding personnel matters.

- Bookkeeping of multiple accounts and grants
- Maintenance of confidential personnel records
- Completion of NCCE and Surry County mandated reports
The candidate must maintain a high level of trust, confidentiality, and a positive, professional attitude towards supportive team building. This position will be responsible for supporting individual agent programs as assigned. The Administrative Assistant will also answer phones, greet visitors to the office, respond to general information inquiries, assist Extension Volunteer Groups, and carry out other general office duties as assigned.

Graduation from high school and two years of related experience; or graduation from a two-year secretarial science or business administration program and one year related experience |

Communication & Marketing: Strong background in newsletter design, written communications, social media management, and event marketing.
Confidentiality: Demonstrated capability to exercise discretion and maintain confidentiality with personnel and office records.
Notary Requirement: Must be a certified Notary Public or willing to obtain Notary certification upon hire.
