Job Description:

Dynamo Technologies LLC is seeking an Administrative Support Senior to provide comprehensive administrative and executive-level support to senior managers and organizational staff. The successful candidate will provide research, analysis, procedural support, process improvement, correspondence preparation, task management, meeting and conference coordination, records management, and travel support. This position requires experience providing executive or administrative support within DoD organizations and the ability to manage multiple priorities, communicate effectively with leadership and staff, and ensure administrative activities are completed accurately and in accordance with organizational policies and procedures.

Note: This position is onsite at Warner Robins AFB, GA

Duties/ Responsibilities



  • Research and compile information pertaining to assigned projects, initiatives, and topics.
  • Review Contract Data Requirements List (CDRL) packages for format and content.
  • Prepare factual, clear, concise, complete, and appropriately coordinated written communications.
  • Ensure leadership is kept informed of issues of interest related to the mission of the Directorate.
  • Monitor progress toward the accomplishment of organizational taskings and initiatives.
  • Provide information and background materials to support the preparation and execution of program events.
  • Draft documents, correspondence, and other materials for leadership approval and signature.
  • Disseminate program policy and specific initiative guidance to members of the organization.
  • Coordinate, document, monitor, and support meetings and conferences.
  • Schedule and set up physical and virtual meetings in support of organizational requirements.
  • Prepare meeting background information and coordinate required meeting participants.
  • Ensure meeting documentation is prepared and filed in accordance with organizational policy, including attendance logs, meeting minutes, action items, and corresponding action officers.
  • Maintain scheduling documents and requirements for video and online conferencing setup and execution.
  • Maintain equipment logs and corresponding instructions for equipment setup and meeting execution.
  • Provide travel planning and execution support.
  • Provide Defense Travel System (DTS) administrative support in accordance with applicable DoD requirements and contractor restrictions.
  • Perform authorized Non-DTS Entry Agent responsibilities in accordance with the DoD Financial Management Regulation, Volume 9, Chapter 2.
  • Perform Commercial Travel Office/Commercially Billed Account (CBA) reconciliation activities when appropriately authorized.
  • Ensure DTS and CBA activities remain within authorized contractor permission levels and restrictions, including restrictions against certifying or approving CBA invoices.
  • Provide administrative and staff support to senior managers and organizational personnel while supporting process improvement and procedural requirements.


Required Skills/Abilities



  • Experience providing executive or administrative support to DoD organizations.
  • Experience supporting senior managers and organizational staff in a professional administrative environment.
  • Ability to research, compile, organize, and present information related to projects, programs, and organizational initiatives.
  • Experience preparing professional correspondence, reports, briefings, and other written communications.
  • Ability to review documentation for appropriate format, content, completeness, and coordination.
  • Experience monitoring organizational taskings, action items, initiatives, and deadlines.
  • Experience coordinating and documenting meetings, conferences, and program events.
  • Ability to prepare and maintain meeting minutes, attendance records, action items, and supporting documentation.
  • Experience scheduling and supporting physical, video, and virtual meetings.
  • Experience providing travel planning and execution support.
  • Knowledge of Defense Travel System (DTS) administrative processes and applicable contractor limitations.
  • Ability to manage multiple priorities and assignments while maintaining accuracy and attention to detail.
  • Strong written and verbal communication, organizational, research, and problem-solving skills.
  • Ability to work independently and effectively support senior-level leadership and staff.
  • U.S. citizenship required


Nice to Have Skills



  • Experience reviewing CDRL packages for format and content.
  • Experience supporting Directorate-level or program office leadership.
  • Experience with Defense Travel System (DTS) administration.
  • Experience serving as a Non-DTS Entry Agent.
  • Experience performing CBA reconciliation activities.
  • Experience maintaining video and online conferencing equipment logs, scheduling documents, and operating instructions.
  • Experience supporting organizational policy dissemination and process improvement initiatives.


Education and Experience:



  • Master's or Doctorate Degree in a related field and ten years of experience in the respective technical/professional discipline being performed, five years of which must be in DoD acquisition.
  • Or bachelor's degree in a related field and 12 years of experience in the respective technical/professional discipline being performed, five of which must be in DoD acquisition.
  • Or 15 years of directly related experience with proper certifications as described in the PWS labor category performance requirements, eight of which must be in DoD acquisition.
