Position Overview
The Office of Audit, Risk & Compliance (OARC) provides leadership and university-wide services that strengthen accountability, identify and mitigate institutional risks, support compliance with applicable laws and regulations, and help the University of Kansas achieve its strategic objectives.
The OARC Business Coordinator provides operational and project coordination support for OARC programs and initiatives. Working closely with OARC leadership, the incumbent develops and maintains tracking systems and documentation, manages communications and information resources, supports financial and administrative processes, and serves as a key resource for department stakeholders. The successful candidate will possess strong organizational and problem-solving skills, exceptional attention to detail, and the ability to manage multiple priorities in a collaborative environment.

Job Description
35% Business Operations & Financial Coordination
- Process invoices, payment requests, reimbursements, and other financial transactions in accordance with university procedures.
- In coordination with Insurance & Risk Management, submit invoices for insurance premiums, process claim payments, create invoices for premium recovery, and maintain supporting records.
- Assist with procurement activities, vendor coordination, and purchasing processes.
- Monitor and maintain office technology, equipment, software licenses, and inventory records.
- Coordinate departmental recordkeeping and ensure business documents are maintained in accordance with university requirements.
- Maintain departmental inboxes and coordinate responses, referrals, and follow-up activities.
- Work with highly sensitive and confidential information.

30% Project Coordination & Administrative Support
- Coordinate and track projects, initiatives, and operational activities across OARC programs.
- Develop and maintain project schedules, monitor milestones, and coordinate with team members and responsible parties to keep projects and workflows on track.
- Organize, maintain, archive, and distribute project, operational, and departmental documentation, ensuring materials are current, properly stored, and available to appropriate stakeholders.
- Develop and maintain tracking systems, databases, reports, dashboards, and other tools utilizing university-approved technologies.
- Assist with data collection, reporting, and assessment activities used to support office operations and decision-making.
- Maintain data integrity within departmental tracking systems and assist with development of reports, dashboards, and workflow automation tools.
- Support special projects and strategic initiatives as assigned.

25% Communications & Office Administration
- Coordinate content development, publication, accessibility review, and ongoing maintenance of OARC websites and electronic resources
- Prepare and distribute targeted emails, University mail communications, newsletters, announcements, and other communications on behalf of OARC.
- Maintain OARC social media accounts
- Support other communication campaigns and outreach activities as appropriate.
- Respond to routine inquiries and direct stakeholders to appropriate resources.
- Represent OARC on university and campus committees supporting communication

10% Relationship Management & Team Support
- Support departmental meetings, events, and office activities.
- Serve as backup for administrative functions supporting OARC leadership.
- Maintain productive working relationships and regular communication with OARC leadership and university stakeholders.
- Support advisory groups, committees, and collaborative initiatives involving OARC.
- Assist in onboarding, mentoring, and coordinating work assignments for student employees and interns.
- Promote a strong customer service focus and collaborative work environment.
- Other duties as assigned.

Required Qualifications
- Bachelor's degree and two years of experience in business operations, project coordination, administrative management, finance, higher education administration, or related field.
- Experience coordinating multiple projects, tasks, or operational activities and maintaining accurate, detailed records.
- Experience working collaboratively with team members and stakeholders.
- Strong written and verbal communication skills, as demonstrated by application materials and previous work experience.
- Experience using Microsoft Office or Microsoft 365 applications and electronic collaboration tools.
This position requires a formal degree in the cited discipline area(s) to ensure that candidates have advanced knowledge, analytical skills and professional competencies necessary to perform the duties of the position. The level of degree is commonly recognized as the standard qualification for similar roles in the public and private sector, ensuring that the university remains competitive with industry aligned practices, enhances collaboration with external partners, and supports the delivery of services and programs that meet professional and market-driven expectations. |
Preferred Qualifications
- Experience processing financial transactions, budgets, purchasing, reimbursements, or invoice management.
- Experience developing and maintaining tracking systems, databases, reports, or documentation using Microsoft Excel, SharePoint, or similar tools.
- Experience creating or maintaining websites, newsletters, communications, or informational materials for internal or external audiences.
