Job Summary
The Student Services Supervisor works within the Admissions, Records, and Registration department and reports to the Director/Registrar. This position provides day-to-day leadership, operational oversight, and staff development to ensure efficient, accurate, compliant student-centered services. This position provides leadership and operational support across the GCC Main and North Campuses, supervising full-time and part-time staff, establishing performance expectations, and providing coaching and training, while supporting a collaborative and service-focused work environment. The Supervisor oversees a broad range of Admissions and Records functions, including enrollment reporting, residency, tuition classification, transcript evaluation, graduation processes, electronic document processing, and related student record systems. This position monitors service metrics and operational trends, uses data to inform decision-making, and implements process improvements to enhance efficiency, accuracy, and compliance. The Supervisor also serves as a resource and liaison for students, faculty, staff, administrators, and campus partners by guiding complex policies, responding to escalated concerns, coordinating appropriate resources, and supporting departmental priorities and strategic initiatives towards continuous improvement. Essential Functions
30% - Leadership, strategic planning, and student record operations management. Plans, organizes, assigns, supervises, coaches, trains, and evaluates full-time and part-time staff. Establishes performance expectations, identifies professional development opportunities, and promotes a collaborative, accountable, service-focused work environment. Oversees daily student academic record processing and student services across the main and north campuses, including in-person, phone, email, and chat services. Works collaboratively with the manager and director to support department priorities, strategic initiatives, staffing needs, and continuous improvement efforts. 30% - Operational improvement and data analysis. Monitors service metrics, quality assurance processes, program outcomes, and operational trends to identify processing delays, compliance concerns, and opportunities for improvement. Uses data, reports, and program information to support operational and strategic decision-making. Researches, evaluates, and implements business process improvements to enhance efficiency. Oversees and continuously improves quality assurance processes to meet or exceed established service standards. 30% - Admissions and Records operations. Oversees the accurate, timely, consistent, and compliant delivery of Admissions and Records functions, including student academic records, enrollment reporting, residency and tuition classification, transcript evaluation, graduation processes, and electronic document processing. Ensures timely processing of student document submissions across multiple platforms. Provides guidance on complex policies and procedures, evaluates supporting documentation as needed, and responds to escalated student concerns. 10% - Department and stakeholder support. Serves as a resource and liaison for students, faculty, staff, administrators, and campus and district partners. Ensures departmental operations and staff practices comply with applicable federal and state laws, district policies, administrative regulations, and institutional procedures. Collaborates with key stakeholders to support enrollment activities and student services, and participates in college- and district-wide committees and work groups. Supports departmental planning and initiatives and performs other duties as assigned. Minimum Qualifications
Bachelor's Degree from a regionally accredited institution and four (4) years of student services or related experience that includes administration of policies and procedures, program oversight, and one (1) year of supervisory experience. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered. Desired Qualifications
1. Master's Degree from a regionally accredited institution 2. Three (3) years of experience working with the student information system (SIS) supporting processes including but not limited to admissions, registration, enrollment, degree audit, transcript evaluation, and record management. 3. Two (2) years of experience performing as an operational lead in higher education that includes leading people, overseeing a program, and/or coordinating duties. 4. Two (2) years of experience working with and applying state, federal, and institutional regulations or compliance-based reporting procedures. 5. Two (2) years of experience coordinating or managing operations of a front-facing student services area. 6. Three (3) years of experience working in enrollment services or student affairs in a college setting 7. One year of full-time relevant MCCCD experience during the previous two years Special Working Conditions
