Job Description

We are currently seeking a Clinical Trials Coordinator and Research Specialist II to support the startup, conduct, management, and closeout of veterinary clinical research studies through the Clinical Research Office within the Department of Veterinary Medicine and Surgery and the Veterinary Health Center. This position serves as a central operational resource for faculty investigators, residents, hospital staff, clients, external sponsors, and contract research organizations across multiple clinical services. This role is a foundational part of the Veterinary Health Center's ongoing effort to build a more coordinated, sustainable, and service-oriented clinical research infrastructure that supports investigators, clinical teams, clients, and sponsors while advancing the College's missions of research and service. The position reports to the Associate Department Chair for Research and Graduate Studies. Typical responsibilities include:

  • Coordinate study feasibility, startup, activation, implementation, day-to-day management, and closeout across multiple clinical services.
  • Prepare, submit, and maintain study, regulatory, and compliance documentation, including ACUC/IACUC submissions, amendments, informed client consent forms, study files, SOPs, templates, and required approvals.
  • Assist faculty investigators with proposal preparation, study design logistics, feasibility review, and development of study workflows that support successful clinical trial conduct.
  • Assist with study budgets, contracts, billing, subsidies, invoicing, sponsor negotiations, and coordination with internal offices and external sponsors to ensure study charges align with approved budgets and agreements.
  • Assist clinicians with screening and enrollment of eligible veterinary patients, coordinate informed consent with owners, and schedule study visits, follow-up care, and participant communications.
  • Provide study paperwork, supplies, visit materials, and logistical support to clinicians and clinical teams, including coordination of investigational products when applicable.
  • Collect, organize, enter, and manage study data in required systems; resolve data queries; collect follow-up data; and maintain accurate, complete study files.
  • Collect and manage study samples, coordinate sample processing and shipment, and ensure related documentation is complete and accurate.
  • Communicate with investigators, clinical teams, students, house officers, staff, clients, sponsors, and contract research organizations regarding enrollment, study progress, supplies, timelines, follow-up, and protocol deviations.
  • Monitor study milestones, approval dates, required signatures, documentation completeness, protocol adherence, and emerging operational or compliance concerns.
  • Support the Clinical Research Office through regular study updates, workflow coordination, training resources, shared document access, and maintenance of forms, SOPs, and research tools.
  • Support communication and promotion of active research projects, including responses to participant inquiries and coordination of follow-up with current or past participants.
  • Other duties as assigned.
Shift

Typical hours are Monday through Friday: 8:00am to 5:00pm.

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and relevant experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Prior experience in clinical research, veterinary medicine, regulatory compliance, research administration, clinical trials coordination, or medical administration.
  • Education, certification, or professional training in research administration or project management.

The successful candidate will be highly organized, detail-oriented, and able to manage multiple studies while communicating effectively with scientific, clinical, administrative, and external partners.

Anticipated Hiring Range

Salary range: $19.25 - $27.40 per hour
