Position Summary: The Supervisor, Ground Operations Training Administration, is responsible for overseeing the day-to-day administration, coordination, compliance, and maintenance of worldwide Ground Operations training records and requirements. This position provides supervisory oversight of training activities, schedules, audits, inspections, training systems, and related documentation to ensure compliance with company policies, regulatory requirements, customer requirements, and applicable industry standards. The Supervisor serves as a key point of contact for Ground Operations Training matters and works closely with internal departments, vendors, customers, training instructors, and regulatory authorities. The position provides oversight of assigned personnel and ensures training requirements, records, systems, and reporting are maintained accurately, efficiently, and within established timelines. Major Job Accountabilities:
- Supervise and oversee the day-to-day operational activities associated with worldwide Ground Operations training requirements, including training records, scheduling, reporting, audits, inspections, and compliance activities.
- Provide direction and support to assigned employees and/or training personnel to ensure training requirements are completed accurately, consistently, and within established deadlines.
- Monitor workload, priorities, and daily activities to ensure Ground Operations Training requirements are appropriately scheduled, coordinated, and completed.
- Maintain oversight of training records and systems to ensure accuracy, completeness, accessibility, and compliance with applicable company, regulatory, customer, and industry requirements.
- Serve as a primary point of contact for Ground Operations training matters and communicate training requirements, changes, deficiencies, and deadlines to management, employees, vendors, and other stakeholders.
- Develop and maintain effective working relationships with customers, vendors, Ground Operations Training Instructors, and company personnel to ensure training requirements and procedures are properly executed.
- Plan, organize, coordinate, and administer internal and external audits and inspections, including activities involving FAA inspectors, DOD, TSA, IOSA, customer auditors, and other applicable regulatory or oversight organizations.
- Review audit documentation, training records, training events, procedures, and supporting documentation provided by Ground Operations Training Instructors and vendors for accuracy, completeness, and compliance.
- Identify training documentation deficiencies, compliance risks, and process gaps and coordinate appropriate corrective actions and follow-up.
- Ensure training management and applicable personnel are advised in a timely manner of current and upcoming training requirements through accurate reports, systems, records, and communications.
- Serve as a subject-matter resource for user inquiries related to Ground Operations training systems and processes, engaging appropriate subject-matter experts when department-specific or technical information is required.
- Recommend revisions and improvements to Ground Operations training manuals, procedures, and related documentation as appropriate.
- Monitor, diagnose, and coordinate resolution of user issues related to LMS training systems and associated applications.
- Monitor system and process issues and escalate significant or recurring problems to appropriate management and support functions.
- Support the implementation of process improvements, system enhancements, and changes to Ground Operations training requirements.
- Prepare and provide recurring reports, metrics, and status updates to management regarding training completion, records, audits, compliance, system issues, and other applicable activities.
- Assist management with identifying trends, developing corrective actions, and implementing solutions related to Ground Operations training and compliance.
- Participate in special projects and initiatives as assigned by the Manager, including projects supporting the LMS system and other Ground Operations initiatives.
- Travel domestically and internationally, as required, to support station operations, audits, training activities, implementation projects, and other business needs.
- Perform other duties and responsibilities as assigned by management.
Qualifications:
- High school diploma or GED required; Bachelor's degree preferred and/or equivalent relevant experience
- Minimum of five (5) years of experience in training administration, training records, data tracking, auditing, compliance, quality assurance, operations, or a related field. Experience may be gained within the aviation industry or other regulated, compliance-focused, or operational environments.
- Demonstrated experience with training systems, records management, auditing, compliance, or related administrative processes.
- Knowledge of training recordkeeping requirements applicable to FAA, DOT, IOSA, TSA customer, and other regulatory or industry requirements.
- Working knowledge of aviation Ground Operations procedures and training requirements preferred.
- Previous supervisory, lead, or team-coordination experience preferred.
- Demonstrated experience with audit preparation, documentation, corrective actions, and regulatory, customer, or internal inspection requirements.
- Demonstrated ability to identify potential issues, anticipate operational challenges, and initiate appropriate actions to resolve training and compliance matters.
- Strong organizational, prioritization, analytical, and multitasking skills with the ability to manage multiple deadlines and competing priorities.
- Excellent written and verbal communication skills with the ability to effectively communicate with employees, management, customers, vendors, and regulatory representatives.
- Ability to work independently, exercise sound judgment, and escalate issues appropriately Ability and willingness to travel domestically and internationally as required.
- Ability to work effectively in a computer-based environment.
- Intermediate to advanced computer skills, including Microsoft Outlook, Excel, Word, and other specialized training, data management, and diagnostic applications.
- Experience with LMS or similar training/learning management systems preferred.
