The University of Georgia Gwinnett Campus seeks to be a highly accessible and vibrant center of advanced learning for non-traditional and working professionals in the greater Atlanta, north-central, and northeast Georgia regions.
As part of the University of Georgia's overall strategic plan for extended education, the Gwinnett Campus plan is to expand graduate and continuing education opportunities to residents of greater Atlanta, north-central and northeast Georgia, and neighboring counties in Alabama, N. Carolina, Tennessee, and South Carolina. The strategic plan incorporates concepts from previous visioning documents and reports.

Position Summary
The Events Specialist position reports to the Assistant Director for the Gwinnett Campus and is responsible for providing logistical support for UGA and non- UGA educational activities (academic, continuing education, community, and corporate) on weekdays and Saturdays. This position serves as campus scheduler in the 25Live system and assists with the DSX door lock system.

This person coordinates UGA physical space maintenance and oversees physical set-up and arrangements for event needs. This position also assists the Assistant Director with planning and organizing on-campus events, conferences, trainings, and student events and orientations; provides IT/AV support for students, faculty, staff, and outside organizations utilizing space on the campus; and works closely with staff and faculty in academic departments, Public Service & Outreach units, external partners, and vendors. This position is essential tothe campus's day-to-day operations, especially on Saturdays.
Knowledge, Skills, Abilities and/or Competencies
Rapid responses to inquiries, independent decision-making, effective and supportive collaboration with other staff members, excellent customer service, awareness of security and confidentiality requirements, and managing multiple assignments simultaneously are expected. Generally aware of policies and practices in a higher education setting, including FERPA, campus security, and accessibility. Become knowledgeable about all programs, events, and key personnel on the Gwinnett Campus.

Facilities and Event Management

  • Assist with facilities maintenance, work with vendors who provide cleaning and security services, and manage facilities preparations for events and classes each day.
  • Provide IT/AV support services as needed for hundreds of students, faculty, staff, and guests each year.
  • Works closely with the Facilities Coordinator in support of campus duties.
  • Serve as the primary point of contact for the campus on Saturdays.
  • Remain aware of security protocols at all times, and assist with overseeing concerns as needed with security staff.

  • Work closely with the Assistant Director and other staff members to plan events throughout the academic year.
  • Scheduler for campus operations, including academic course scheduling, training, conferences, and any other events on campus using the 25Live scheduling system.
  • Track inventory related to facilities and events and ensures supplies are stocked.

  • Provide general administrative and academic support, which requires knowledge of key UGA policies and procedures and Athens campus offices.
  • Provide excellent, proactive customer service for students, faculty, staff, and guests.
  • Attend the weekly operations meetingand provide feedback when required for special events. Will lead the weekly operations meeting in the Assistant Director's absence.
