Job Title: Grants Specialist Location(s): San Francisco, CA (Hybrid: Onsite 2 days/week) Job Summary: Seeking an experienced Grants Specialist with a strong background in pre-award research administration, budget development, and proposal submission. The ideal candidate will have experience preparing and submitting grant applications, particularly for National Institutes of Health (NIH) funding opportunities, while ensuring compliance with sponsor and institutional requirements. Key Responsibilities:
- Manage the full pre-award grant proposal process from planning through submission.
- Develop detailed proposal budgets and budget justifications.
- Prepare and submit grant applications, with a strong emphasis on NIH proposals.
- Interpret sponsor guidelines and ensure compliance with institutional, federal, state, and sponsor regulations.
- Review proposals for completeness, accuracy, and adherence to submission requirements.
- Coordinate proposal development involving multiple investigators and subawards.
- Provide guidance to faculty and departmental staff on grants, contracts, and sponsor requirements.
- Monitor proposal timelines to ensure timely submissions.
- Support contract and grant administration throughout the award lifecycle, including post-award and closeout activities as needed.
- Analyze research funding opportunities and assist with research portfolio planning.
- Maintain grant and contract records in accordance with institutional policies.
- Assist in negotiating contracts, grants, and subaward agreements.
- Mentor and support less experienced research administration staff when appropriate.
Required Qualifications:
- Experience in pre-award research administration.
- Strong experience with budget development for research proposals.
- Hands-on experience preparing and submitting NIH grant applications.
- Knowledge of federal grant regulations and sponsored research administration.
- Experience interpreting sponsor guidelines and ensuring proposal compliance.
- Strong analytical, organizational, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple deadlines in a fast-paced environment.
- Proficiency with Microsoft Office applications, particularly Excel.
Preferred Qualifications:
- Experience managing complex proposals involving multiple principal investigators and subawards.
- Experience working within an academic medical center, university, or research institution.
- Knowledge of sponsored research policies and compliance requirements.
- Experience providing guidance to faculty and research staff.
Work Environment:
- Hybrid schedule requiring onsite work two days per week in San Francisco, CA.
- Collaborative team environment supporting research faculty across multiple departments.
