Employee Occupational Health & Wellness is looking for a Staff Specialist to join our team. In this role, you'll support the day-to-day operations of our clinic by assisting employees at the front desk, answering telephone calls, scheduling appointments, entering information into computer systems, and maintaining records. You'll also provide routine clerical support to nurses and providers to help keep the clinic running smoothly.

The ideal candidate is dependable, organized, comfortable working with computers, and enjoys helping people in a busy office setting.

Key Responsibilities

Front Desk & Customer Service



  • Greet employees arriving for clinic services.
  • Check employees in and out for appointments.
  • Answer telephone calls and route calls or messages to the appropriate staff member.
  • Respond to routine questions and provide basic clinic information.
  • Provide employees with appointment information and directions.


Appointment Scheduling



  • Schedule new hire, surveillance, injury, fitness-for-duty, and other clinic appointments.
  • Schedule return visits and referrals as directed.
  • Reschedule appointments when needed.
  • Open or block appointment schedules as directed by clinic staff.


Data Entry & Records



  • Enter and update employee information in electronic systems.
  • Enter new employee health clearance information.
  • Scan, file, retrieve, and maintain employee health records.
  • Review records for missing information and make routine corrections.
  • Enter information needed for clinic and OSHA documentation.
  • Send routine forms and documentation to employees, supervisors, and other departments as directed.


General Clinic Support



  • Prepare records and information needed for daily clinic appointments.
  • Assist nurses and providers with routine clerical tasks.
  • Assist with incomplete or pending clinic encounters.
  • Perform filing, scanning, faxing, emailing, copying, and other general office duties.
  • Assist with communication and scheduling related to Physical Therapy and other clinic services.
  • Perform other clerical and clinic support duties as assigned.


Knowledge, Skills & Abilities



  • Good customer service and communication skills.
  • Basic computer and data-entry skills.
  • Ability to learn new computer systems.
  • Ability to follow written and verbal instructions.
  • Ability to organize daily tasks and maintain accurate records.
  • Ability to maintain confidentiality.
  • Ability to work with others in a busy clinic environment.
  • Previous office, front desk, scheduling, or customer service experience is helpful.


Minimum Requirements

Work requires knowledge of basic mathematics, research and communications principles normally acquired through two years of postsecondary education.

Work generally requires three years of clerical or related experience to acquire skills in office organization, communication, and administrative practices.

A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and two years of experience requirement.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $20.60 to USD $28.65.
