Job Description

The Professional Education Logistics Coordinator is responsible for the seamless execution and logistical management of educational programs, surgical training labs, and medical education events for healthcare professionals (HCPs). This role ensures that all training events-whether hands-on bio-skills labs, virtual webinars, or large-scale symposia-are executed flawlessly, on time, and in strict compliance with medical device industry regulations (e.g., AdvaMed Code, Sunshine Act).

NOTE: We are currently only considering local applicants who can adhere to our hybrid work schedule (currently 3 days/week in office and 2 days/week remote)

Key Responsibilities

Lab Preparation & Setup

  • Prepare labs (cadaveric, animal, organ models) for physician training and device evaluation.
  • Meet with Lab employees / Management for initial needs assessment, contracts, coordination.
  • Working with Physician proctors to coordinate didactic/lab dates, after proctors have been selected by ESS staff
  • Work with external Vendors for additional equipment needs
  • Assist with attendee travel as needed (Food, Beverage, and Lodging needs per event based on needs
  • Build and manage program timelines to keep planning on track and ensure all approvals and required steps are completed
  • Serve as a central point of contact for internal teams (sales, marketing, medical) and external partners (faculty, lab facilities, vendors)

Facility Management

  • Coordinate with ESS team to execute details as they pertain to the specific program
  • Identify and confirm appropriate lab facilities based on program needs, capacity, and technical capabilities

Equipment & Inventory Management

  • Track and manage inventory of devices, kits, and lab supplies.
  • Coordinate shipping/receiving for mobile labs and training events.
  • Work with Marketing and Logistics on Demo Product, Lava Syringes, etc.
  • Leverage Sirtex platforms to SOW/Process improvements (simple for ESS team), drive efficiency
  • Manage inventory of lab supplies, including catheters, wires, and related materials, maintaining supply levels to support scheduled programs

Event Execution & Logistics

  • Coordinate the creation of registration invites and links for attendee registration that includes faculty and locations.
  • Coordinate with Strategic Events team on Tradeshow and Conference events.
  • Processing invoicing, faculty payment, vendor payment, faculty contracts
  • Coordinate logistics for hands-on training programs (mobile labs, cadaver, and animal labs) supporting the local field team
  • Collect feedback from faculty, attendees, and field teams to identify areas for improvement

Data Collection & Reporting

  • Support post-event reporting for internal teams (clinical, marketing, R&D).
  • Follow up email through Cvent
  • Track program budgets, expenses, and invoices, ensuring accuracy, timely submission for payment, and programs stay within budget
Qualifications
  • BS degree in related field preferred. Work experience in lieu of a degree will be considered
  • Experience: 2+ years in logistic managementwithin Medical Devices, Pharma, or Healthcare field highly preferred but not required.
  • Project Management: Ability to manage multiple concurrent projects, prioritize competing deadlines, and maintaining detailed timelines from planning through execution
  • Program and Event Management: Experience planning and executing complex educational programs, meetings, training events, or conferences from start to finish, involving multiple stakeholders, vendors, timelines, and deliverables
  • Inventory Management experience preferred
  • Compliance Knowledge: Experience with AdvaMed guidelines and Healthcare Professional (HCP) spend reporting.
  • Clinical Familiarity: Basic understanding of the IR suite environment and oncological terminology is a significant plus.
  • Logistics: Experience managing the shipping of sensitive medical equipment, prototypes, or heavy machinery.
  • Travel: Ability to travel 5-10%, including weekends for strategic events or meetings
