Job Summary

Under the supervision of the Director of Annual Programs, this role entails efficiently handling gift reporting; and acting as a liaison between various entities, including campus departments, Weill School of Veterinary Medicine (WSVM) departments, the Office of the Treasurer of The Regents, and UC Davis Foundation. Manages and oversees gift processing activities for WSVM, ensuring gifts and donor records are accurate, compliant, and processed in a timely manner while coordinating with internal departments, Advancement Services, and external donors. Responsible for data integrity entered into multiple processing platforms and providing timely stewardship correspondence for gifts received. Provides donor stewardship and customer service by responding to inquiries, preparing reports and acknowledgments, tracking pledges, and ensuring donor intent is properly applied to designated funds. Independently analyzes financial and gift-related information, resolves discrepancies, maintains operational procedures, coordinates tasks with student assistants, and serves as a liaison to support effective gift administration and stewardship activities. Manage heavy workloads, frequent interactions with the public and internal stakeholders, maintaining confidentiality, and ensuring all activities align with Office of University Development policies and standards. Execute cultivation and stewardship communication strategies that target estate donors/prospects. In this role, you are expected to be present at the office during regular business hours. This position offers stability, in-person interaction, and a structured work environment.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's Degree in related area and/or equivalent experience and training.
  • No Minimum Work Experience required.
  • Skill to perform accurate accounting functions for gift reporting and cashiering/depositing processes.
  • Proficiency with computers including e-mail, calendaring, database applications sufficient to query data; spreadsheet skills, advanced skill in word processing and mail merge.
  • Excellent interpersonal, oral and written communication skills to convey information to the public; draft and edit error-free correspondence and reports; demonstrated knowledge of business practices in the production of documents.
  • Skills to take appropriate initiative, function independently and prioritize working under multiple deadlines, heavy workload and overlapping activities of a complex and demanding unit.
  • Skills to communicate w/ individual and corporate donors, legal counsel or other donor representatives, veterinarians or clinic staff by telephone, mail and at SVM events.
  • Familiarity with UC system or higher education, campus and school administrative organization, policies and procedures.

Preferred Qualifications

  • Experience of SVM-wide, campus-wide, and system-wide administrative policies and gift processing procedures and practices.
  • Experience using Advance Web, PowerBI, GREAT, and Aggie Enterprise is preferred.
  • Experience in Microsoft Excel with pivot tables, formulas, and Power Queries.
  • Basic knowledge of the university and/or School of Veterinary Medicine, its mission, vision, goals, and achievements.

Work Environment
