Summary:

Goldbelt Professional Services, LLC is seeking a responsible and professional Project Coordinator to manage and support our contract client. This role is pivotal in maintaining and optimizing the response leadership's calendar through advanced planning and scheduling, handling conferences, teleconferences, and correspondences, and coordinating multiple calendars efficiently. The Project Manager will be responsible for researching, preparing, organizing, and tracking meetings and presentations, as well as obtaining meeting notes and performing other public health-related tasks in a dynamic and fast-paced emergency response environment. This position may require occasional work during evenings, weekends, and holidays to ensure continuous coverage for leadership and operational processes.


Responsibilities

Essential Job Functions:

  • Organize and maintain the jurisdiction NWSS project folder, including file structure, naming conventions, version control, and access.
  • Support development, review, and lifecycle management of knowledge products (e.g., SOPs, templates, guidance, trackers)
  • Coordinate collection, organization, and integration of materials from team members and partners into the NWSS repository.
  • Maintain content inventories and tracking tools to monitor resources and ensure materials are current and accessible.
  • Assist in establishing and applying knowledge management processes and standards.
  • Set up and implement administrative procedures for assigned teams and leadership.
  • Support staff activities, providing guidance and addressing any operational issues that arise.
  • Make and schedule appointments on behalf of leadership and maintain up-to-date team email groups and meeting attendees.
  • Compose and draft correspondence, reports, memos, and presentations for leadership.
  • Ensure that requests for action or information are relayed to the appropriate staff member and fulfilled promptly.
  • Monitor and manage functional email boxes, screening for critical messages and assisting leadership with responses to communication inquiries.
  • Take notes and track actions items at meetings.
  • Prepare and research materials for various meetings and presentations, ensuring all necessary documentation is available and accurate.
  • Execute additional tasks as directed by team leads, ensuring all assignments are completed efficiently and accurately.
  • Provide technical and administrative oversight for work products, ensuring compliance with contract requirements, timelines, and goals.
  • Monitor deadlines and summarize project progress.

Qualifications

Necessary Skills and Knowledge:

  • Proven experience in similar project coordination role, preferably within a public health or emergency response setting.
  • Exceptional organizational skills with the ability to manage multiple calendars and coordinate complex scheduling.
  • Strong communication skills, both written and verbal, with a demonstrated ability to prepare high-quality presentations and correspondence.
  • Ability to work under pressure and adapt to a fast-paced, high-stakes environment.
  • Flexibility to work evenings, weekends, and holidays as required by the nature of emergency response operations.
  • Proficiency in using office software and tools such as Microsoft Office Suite, SharePoint, and other relevant platforms.

Minimum Qualifications:

  • BS/BA in related discipline or equivalent education; 3+ years' experience in lieu of degree.
    • At least two (3) years of experience in relevant work or related areas
    • Previous experience with federal government agencies; preferably with CDC.

Pay and Benefits

Salary Range: $72,000-$73,000 annually.
