Event and Facilities Coordinator - JLL What this job involves:

The Event and Facilities Coordinator plays a vital role in creating exceptional workplace experiences for our pharmaceutical industry client by seamlessly blending event planning expertise with facility operations management. As the orchestrator of corporate events and daily facility operations, you'll ensure every engagement runs smoothly while maintaining the highest standards of compliance, safety, and professionalism. This position offers the unique opportunity to lead event programs using proven hospitality principles while directly impacting workplace culture and operational excellence. You'll serve as the strategic connector between clients, vendors, and internal teams, delivering services that consistently exceed expectations and contribute to JLL's reputation for world-class facility management.

What your day-to-day will look like:
  • Oversee end-to-end event execution including catering coordination, room setup, and public space management, conducting thorough walk-throughs and planning meetings with clients to ensure seamless delivery

  • Manage the event calendar, resolve scheduling conflicts, and provide comprehensive guest services for all in-house client events from conception through completion

  • Process and coordinate CMM work order requests promptly, facilitating communication among vendors, facilities staff, and service providers to ensure excellent coordination

  • Maintain compliance documentation including training records, Job Hazard Analysis, and Safe Work Permits while ensuring adherence to health, safety, environmental regulations, and pharmaceutical industry standards

  • Proactively develop and maintain client relationships through regular engagement, ensuring service levels meet or exceed Key Performance Indicators and contract requirements

  • Identify and recommend opportunities for operational improvements and service excellence, following established escalation and incident reporting procedures when necessary

  • Serve as the strategic point of contact for event-related inquiries, providing subject matter expertise and leadership across all event programs within the client's organization

Required Qualifications:
  • Bachelor's degree in Business Administration, Hospitality, Event Management, or related field (or equivalent professional experience)

  • 2-5 years of progressive experience in event management, facilities coordination, hospitality, or a comparable role

  • Demonstrated project management capabilities with proven ability to manage multiple concurrent projects while maintaining attention to detail and meeting deadlines

  • Strong stakeholder management and communication skills with ability to influence and persuade clients to adopt best practices without direct authority

  • Physical ability to perform job functions including lifting, bending, and moving equipment safely, with flexibility to work occasional early mornings, evenings, or weekends based on event schedules

Preferred Qualifications:
  • Experience working within pharmaceutical, healthcare, or regulated industry environments with understanding of compliance requirements

  • Proficiency with event operating systems or facility management software platforms

  • Advanced Microsoft Office suite skills including Excel for reporting and PowerPoint for client presentations

  • Strategic planning experience with demonstrated success executing initiatives through influence of non-direct reports

  • Strong customer service orientation with hospitality background and collaborative approach to problem-solving

Location: Onsite

Estimated compensation for this position:

50,000.00 - 52,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
