Job Description Summary:
The Program Associate for Inclusive Excellence serves as a vital operational partner in advancing the school's culture, belonging, and engagement goals. Reporting to the Director, this role coordinates the daily logistics, financial processes, and administrative workflows that sustain high-impact programming for students, faculty, and staff. The Associate ensures the office operates efficiently by managing event logistics, stewarding the department budget, supporting shared governance councils, and serving as the primary liaison for internal and external inquiries. This position is essential for maintaining program continuity and ensuring a welcoming, responsive environment for the SEAS community.

1. Committee & Council Support (35%)


  • Governance Administration: Serve as the primary administrative lead for the SEAS Together Council and its associated sub-committees. Responsibilities include scheduling meetings, preparing agendas in collaboration with committee leads, and tracking action items to ensure progress between meetings.

  • Committee Facilitation: Support the committees (Engagement & Communication + Recognition & Development) by facilitating logistical planning sessions and organizing committee resources, ensuring members have the support needed to execute their initiatives.

  • Student & Staff Triage: Serve as an approachable point of contact for students, staff, and faculty regarding committee inquiries or general climate feedback, helping to resolve administrative questions and escalating complex matters to the Director as appropriate.

    • Student org funding allocation (excluding competition orgs) for programming and professional development
    • Helping students purchase things, and room reservations




2. Event Planning & Operations (25%)


  • Event Coordination: Coordinate the logistics for signature school-wide events (e.g., Engineers' Week, Block Party, De-Stress Fest). Manage room reservations, run-of-show schedules, catering orders, and on-site event support to ensure a high-quality attendee experience.

  • Administrative Collaboration: Collaborate with and provide guidance to administrative support staff in partner offices (OUSSS, OGA) to ensure the timely completion of shared tasks, such as birthday card mailings, flyer distribution, and basic data entry.

3. Communications & Information Management (25%)


  • Communications Liaison: Serve as the central content gatherer for the OIE. Collate updates, success stories, and announcements (e.g., Staff/Faculty Spotlights, New Hire Spotlights) and package them for the SEAS Marketing and Communications team to finalize and distribute.

  • Inquiry Management: Manage the shared seasexcellence@gwu.edu inbox, ensuring all community inquiries receive a timely, helpful response or are routed to the correct department.

  • Data Support: Assist in the administration of feedback mechanisms (such as post-event surveys and data dashboards) and compile preliminary reports to help the Director assess program impact.

4. Financial Coordination & Procurement (15%)


  • Budget Stewardship: Coordinate the daily financial operations of the OIE. Manage a University Purchase Card (P-Card) for program supplies and catering, ensuring all transactions are compliant with university policy.

  • Expense Reconciliation: Responsible for timely monthly reconciliation of expenses and tracking expenditures against the master budget to support the Director in fiscal planning.

  • Vendor Liaison: Manage the logistical lifecycle of vendor relationships (catering, venues, guest speakers). Solicit quotes, gather necessary insurance/tax forms, and prepare invoices and/or contracts that need to be reviewed.

Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a high school diploma/ GED plus 1.5 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. The degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training, and experience.
