Job Description:

POSITION SUMMARY

The Safety Coordinator provides administrative and compliance support to the Safety Department by coordinating safety programs, training, documentation, and project compliance requirements. This role supports the organization's safety initiatives by maintaining safety records, managing compliance documentation, coordinating occupational health services, administering training programs, and supporting project-specific safety and regulatory requirements. The Safety Coordinator serves as a key administrative resource for Safety leadership and operational teams, ensuring that safety documentation, training records, and compliance activities are accurate, complete, and timely. This position also provides administrative support to the Drug and Alcohol Testing Program, including backup support for the Designated Employer Representative (DER), under the direction of Safety leadership.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Safety Program Administration and Recognition Programs

  • Manage safety award submissions, including applications, surveys, and quarterly and annual requirements.
  • Track submission progress, maintain documentation, and ensure accurate recordkeeping.
  • Support leadership in preparing and submitting award documentation and related materials.
  • Administer safety recognition and reimbursement programs, including eligibility tracking and processing documentation.
  • Maintain accurate records of safety program participation and compliance.

Safety Hub Administration and Communications

  • Serve as administrator for the Safety Hub (SharePoint), ensuring safety alerts, communications, and reference materials are current and accessible.
  • Upload, maintain, and organize safety communications, reference materials, and safety documentation.
  • Maintain posting schedules and ensure content accuracy and usability on mobile and desktop platforms.
  • Publish and maintain key safety resources, including emergency procedures, incident documentation, and safety reference materials.

Safety Department Support (Policies, Procedures, and Documentation)

  • Support the development, implementation, and maintenance of safety policies and procedures.
  • Maintain and update the Safety Manual to ensure accuracy and compliance with current policies.
  • Assist with documentation and tracking of safety initiatives and compliance requirements.

Safety Training Administration

  • Coordinate safety training enrollments and maintain training records.
  • Track employee training completions, certifications, and compliance requirements.
  • Maintain accurate training records within designated systems and ensure documentation is properly retained.
  • Assist with scheduling and coordinating urgent or project-specific training requirements.

Meeting Preparation and Reporting

  • Prepare safety meeting agendas and documentation, including incident reports and safety performance data.
  • Coordinate meeting materials with Safety leadership and distribute information as required.

Administrative and Cross-Functional Support

  • Provide administrative support to Safety Managers, including preparing reports, spreadsheets, and communications.
  • Coordinate with internal stakeholders on employee compliance requirements, including driving status and project access.
  • Assist with tracking and maintaining compliance documentation.

Invoice Processing and Financial Coordination

  • Process and track invoices related to safety programs, occupational health services, and compliance activities.
  • Maintain accurate financial documentation and coordinate approvals as required.

Regulatory and Compliance Support

  • Support regulatory compliance programs, including documentation tracking and maintenance of compliance records. (Driver files, etc.)
  • Provide administrative support for railroad compliance programs and related documentation requirements.
  • Update compliance records in HRIS and safety tracking systems as required.

Project and Client Compliance Support

  • Coordinate project-specific compliance requirements, including training records, certifications, badges, and testing documentation.
  • Maintain compliance documentation required for client and project access.
  • Support project teams in meeting safety and regulatory compliance requirements.

Clinic and Occupational Medicine Coordination

  • Coordinate occupational health services, including scheduling physical exams, fit testing, and medical evaluations.
  • Maintain clinic resource lists and track compliance documentation.
  • Ensure accurate and timely recordkeeping of medical and compliance documentation.

Drug and Alcohol Program Administrative Support

  • Provide administrative support for the Drug and Alcohol Testing Program, including coordinating testing logistics and maintaining documentation.
  • Serve as backup administrative support for the Designated Employer Representative (DER), assisting with documentation, scheduling, and compliance tracking under the direction of Safety leadership.
  • Maintain testing records and ensure the accuracy and confidentiality of documentation.

Additional Responsibilities

  • Maintain confidentiality of employee safety and compliance records.
  • Support internal audits and compliance reviews.
  • Perform additional duties and special projects as assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Associate degree in Occupational Safety, Construction Management, Business Administration, or a related field; or an equivalent combination of education and relevant work experience.
  • Minimum of one (1) to three (3) years of experience supporting safety programs, compliance coordination, or administrative functions in construction, industrial, utility, transportation, or similar environments.
  • Working knowledge of safety documentation, training coordination, and compliance tracking practices.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and detailed records.
  • Strong attention to detail and ability to maintain accurate and confidential documentation.
  • Ability to handle sensitive employee and safety information with professionalism and confidentiality.
  • Strong written and verbal communication skills, with the ability to prepare professional correspondence and reports.
  • Proficiency in Microsoft 365 applications, including Excel, SharePoint, Outlook, and Teams.
  • Ability to coordinate training, documentation, and compliance activities across multiple departments and locations.
  • Ability to work effectively with Safety leadership, field personnel, and internal and external partners.
  • Ability to prioritize tasks and adapt to a fast-paced, deadline-driven environment.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Experience supporting safety programs in construction, utilities, transportation, or industrial settings.
  • Familiarity with safety training programs and compliance requirements (OSHA, MSHA, HAZWOPER, ECCS, or similar).
  • Experience working with HRIS systems such as Workday and safety management systems.
  • Experience coordinating occupational health services and compliance documentation.
  • Experience maintaining SharePoint or internal safety communication systems.
  • Familiarity with safety compliance tracking and documentation management

OTHER:

  • Must possess a valid driver's license and the ability to maintain a satisfactory Motor Vehicle Record.
  • Ability to manage high volumes of documentation and administrative tasks.
  • Strong customer service mindset and ability to support employees and project teams.
  • Ability to respond to time-sensitive compliance and operational needs.
  • Ability to work independently while following established procedures.
  • Commitment to workplace safety and compliance.

PHYSICAL DEMANDS:

The physical demands described are representative of those required of any employee to perform the essential functions of this role. While performing the duties of this job, the employee frequently communicates with employees and clients and must be able to exchange accurate information. Additional functions include standing and/or sitting in a stationary position for extended periods of time; 50%+, using a computer/laptop in an office environment with natural and/or fluorescent lighting, navigating between office building floors, regularly attending off-site meetings or events, and lifting up to 35 lbs. unassisted.

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those employees may encounter while performing the essential functions of this job. Jobsite visits may involve walking on uneven terrain, navigating stairs or ladders, and exposure to variable weather, noise, dust, and moving equipment. During jobsite visits, the employee must wear required PPE as directed, including a hard hat, safety glasses, a high-visibility vest, gloves, hearing protection, and safety-toe footwear. Most often in a typical office environment; however, occasional job-site travel is required. The employee frequently works alone and with others. The employee may occasionally encounter high noise levels when visiting job sites, but hearing protection is provided and required.

Base Compensation: $25.75hr - $32hr

The base salary range may vary depending on geographic location, applicant skills, and prior relevant experience.
