About This Role

Kansas State University is a management entity for the Climate Resilient Cereals Innovation Lab (CRCIL), which is funded by the U.S. Government. This program requires significant financial management support to ensure it meets program objectives and adheres to state and federal regulations. A full-time grant specialist will be essential for effective management of multiple program accounts and subawards across four countries and multiple institutions.

Duties/ Responsibilities:



  • Support management of awarded projects, including account setup, budget monitoring, and expense tracking.
  • Review and approve expenditures for allowability, allocability, and compliance with sponsor, state, federal, and university policies.
  • Monitor budgets to ensure expenditures remain within approved limits and aligned with project goals.
  • Assist with financial reporting, invoicing, and award closeout processes.
  • Coordinate subaward administration, including monitoring budgets, reviewing invoices, and ensuring compliance.
  • Maintain documentation to support audit readiness and respond to audit inquiries as needed.
  • Submit sponsor requested reports, fulfill match requirements, and purchase equipment.
  • Track project timelines and ensure reporting and compliance deadlines are met.
  • Serve as liaison between faculty, department staff, and central administrative offices (e.g., Sponsored Programs, Financial Services, Pre-Award Services).
  • Provide training and guidance to faculty and staff on grant policies, procedures, and best practices.
  • Ensure adherence to university, state, federal, and sponsor regulations.
  • Assist with development and implementation of internal procedures to improve efficiency and compliance.
  • Support strategic planning efforts related to sponsored programs and funding opportunities.
  • Assist in the preparation and submission of grant proposals, including budgets, budget justifications, and required documentation.
  • Review proposals for accuracy, completeness, and compliance with sponsor and university requirements.
  • Coordinate proposal submissions with central administrative offices to ensure deadlines are met.

Worksite Description

This position is On-site.

All employees must reside in the United States when they begin working to comply with state law. K-State is unable to provide remote or hybrid work opportunities for residents of the state of Idaho.


What You'll Need to Succeed

Minimum Qualifications:



  • Requires a high school diploma (or equivalent) and five years of relevant experience. Requirements may be met through a combination of work experience and education.


Preferred Qualifications:



  • Degree in accounting, business, finance or related discipline or Master's degree in business administration.
  • University post-award grant experience.
  • Knowledge of budget/accounting and procurement practices, procedures, and principles.
  • Proven ability and experience in compilation, analysis, and interpretation of financial reports.
  • Experience with responsibilities requiring attention to detail and applying independent judgment with a high degree of accuracy and accountability.
  • Inquisitive, comfortable, and experienced in performing in-depth research.
  • Proven organizational skills with ability to meet tight deadlines and work independently.
  • Experience responding to needs and requests of a wide range of clients in a friendly and effective communication style.
  • Experience working on a successful team and demonstrated commitment to a team atmosphere.
  • Experience complying with federal, state, and university regulations and policies.
  • Previous experience with international programs, partners, and federal funding agencies.
