This role ensures sound fiscal stewardship, operational efficiency, regulatory compliance, and effective administrative support for faculty, staff, and research activities within the department. Oversee daily operations and financial management for an academic department of 10+ faculty with annual expenditures under $10M. Serves as the department's primary liaison to university administrative offices and ensures compliant, efficient management of financial, personnel, and operational activities. Start date will be July 6th or after. Key Responsibilities
- Manage departmental finances, including budgeting, forecasting, and financial reporting for grants, appropriations, endowments, and other funds.
- Oversee fiscal planning, monitor expenditures, and implement internal controls to ensure compliance with university, federal, and grant guidelines.
- Review and approve departmental expenditures, travel reimbursements, direct pay requests, and renovation project documentation.
- Support faculty with grant proposal preparation and financial management of research funds.
- Serve as the department's financial liaison with university offices (Controller, Budget, Medical Dean's Office, Financial Affairs, Graduate School, etc.).
- Manage space allocation, facilities coordination, and maintenance needs with the Medical Dean's Office.
- Administer departmental purchasing and monitor institutional credit card activity for policy compliance.
- Oversee personnel administration, including staffing requests, salary budgeting, performance evaluations, time approvals, and job description management.
- Partner with Human Resources on recruitment, disciplinary actions, promotions, and terminations.
- Support faculty recruitment and appointments, including financial forecasting, appointment documentation, and annual faculty contract preparation.
- Monitor compliance with institutional policies related to laboratory safety training, hazardous waste disposal, radiation safety, chemical inventories, and equipment tracking.
Qualifications
- Bachelors' Degree Required in Business Administration, Healthcare Administration, Management, Finance, Public Health, Education, or related field. Master's degree preferred.
- 3+ years related experience
- Financial management experience
- Progressive management experience to include experience with financial and personnel management highly desirable.
- Proficiency in analytic reasoning to formulate budgets and adhere to administrative policies and processes.
- Developing understanding of regulatory framework and internal controls (financial and compliance) and ability to apply them within the division necessary.
- Ability to assess risk and problem solve by critically evaluating alternative courses of action and arriving at solutions that are best for division.
- Understanding of human resource administration and related regulatory environment.
