Position Overview: The Executive Office Manager is responsible for delivering comprehensive administrative support to the CEO, Chairman, other Executive team members, and the Board of Directors. This role is responsible for managing the efficiency and effectiveness of administrative functions as well as serving as the primary liaison for customer escalations and donation requests. The Executive Office Manager will coordinate Board of Director meetings, Annual Shareholder meeting and related functions and events. This role requires the ability to interact professionally with high-level stakeholders, always ensuring efficient communication and discretion. Essential Functions:
- Provide high-level administrative support to the CEO, Chairman, other Executives, and Board Members, managing communications, schedules, and appointments to ensure optimal time management and efficient workflow.
- Act as the initial point of contact for all calls directed to the CEO's office, handling customer and stakeholder calls professionally, addressing and resolving escalations where possible without CEO involvement.
- Serve as a trusted advisor to the CEO, providing insight, analysis, and recommendations to support executive decision-making.
- Act as the primary point of coordination for CEO-led initiatives, ensuring alignment across departments and timely follow-up on action items.
- Prepare briefing materials, talking points, and presentations for CEO meetings, public appearances, and board engagements.
- Prepare and distribute various reports, documents, and analyses, including Board and committee meeting minutes, shareholder communication, and executive reports as needed.
- Manage and organize Board of Directors' meetings, including scheduling, agenda preparation, document compilation, and ensuring timely delivery of materials to Board members.
- Manage the CEO's calendar and schedule, confirming meetings, arranging travel logistics, and organizing accommodations for executive travel needs.
- Draft, review, and finalize correspondence and documents for the CEO, including letters, reports, proposals, and internal communication.
- Maintain the Board Meeting Conference Room to ensure it is fully equipped, organized, and presentable for all scheduled meetings.
- Serve as the liaison for the Charitable Donation Committee, coordinating meeting agendas, managing donations requests, and maintaining accurate records of committee decisions.
- Manage sensitive customer service interactions with directors, shareholders, family members, and other clients, ensuring each inquiry is addressed with the highest level of service and professionalism.
- Maintain secure, confidential files on bank-related matters, including CEO and Board activities, officer meetings, and community involvement, with meticulous attention to detail.
- Conduct research as needed to resolve customer escalations or specific requests, providing timely and informed responses.
- Under limited supervision, make executive decisions on routine CEO tasks and follow-up items, ensuring tasks are completed accurately and in a timely manner.
- Interface with Board Members, Leadership and Family Members as needed to facilitate communication and handle any requests related to business matters.
- Manage event planning for executive functions and board-related events, coordinating with external vendors, handling logistics, and managing event budgets.
- Supervise, mentor, and evaluate an executive assistant, fostering a culture of accountability, collaboration, and professional growth.
- This position may require travel within the Bank's geographic area.
Experience & Education:
- 3-5 years' experience in an administrative assistant role within a high-volume, highly professional office environment, ideally supporting executive leadership or board members.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Bachelor's degree in Business or a related field.

- Effective organizational and time management skills, with the ability to prioritize tasks and work independently under limited supervision.
- Keen attention to detail, ensuring accuracy in all documentation, communication, and scheduling.
Other Requirements:
- Requires the ability to lift, carry, push, pull weights or otherwise move objects weighing as much as 10 lbs. on a regular basis and/or for extended periods of time during the workday.
- Occasional overtime or extended hours may be required.
