Job Summary: The Administrative Specialist provides high-level administrative support to ensure efficient operation of the office. This role involves handling a variety of tasks, including scheduling, document management, data entry, and communication with internal and external stakeholders. The ideal candidate is highly organized, detail-oriented, and able to work independently in a fast-paced environment. Responsibilities: * Manage schedules, appointments, and travel arrangements for executives and team members. * Coordinate meetings, prepare agendas, and take meeting minutes. * Handle correspondence, including emails, phone calls, and mail. * Maintain and organize digital and physical files, records, and reports. * Assist with document preparation, proofreading, and editing. * Perform data entry, generate reports, and analyze information as needed. * Support budgeting and expense tracking for department operations. * Coordinate office supplies and manage inventory. * Assist in HR-related administrative tasks, such as onboarding and employee records management. * Ensure compliance with company policies and procedures. * Provide general support to visitors and employees. Qualifications: * Bachelor's degree in Business Administration, Office Management, or a related field (preferred). * 2+ years of experience in an administrative or office support role. * Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. * Excellent organizational and multitasking abilities. * Strong written and verbal communication skills. * Ability to handle confidential information with discretion. * Detail-oriented with strong problem-solving skills. * Ability to work independently and as part of a team. | |
