Plans, coordinates and supervises the operation and activities of the center/institute/department. Develops and implements policies and procedures, administers the budget, organizes tasks and sets priorities.

Major/Essential Functions

The US PREP Senior Director of Administration & Strategic Initiatives will serve as a key strategic advisor and right-hand to the Executive Director, with accountability for planning, directing, and evaluating all operational and strategic functions. This role has significant influence over organizational outcomes, people management, and resource allocation, and plays a critical role in translating institutional priorities into operational plans, policies, and measurable results.

Key Responsibilities:

1. Strategic Planning and Execution:

  • Collaborate with the Executive Director and senior leadership to develop, implement, and monitor strategic and operational plans, ensuring efficiencies with scale.
  • Ensure alignment of organizational goals with the mission and vision. Monitor progress of key initiatives and projects, providing regular updates to the executive team.
  • Translate organizational initiatives into objectives, policies, and plans for the area of responsibility.
  • Stay up-to-date with policy decisions in the respective states where US PREP is operating, and support the team by disseminating updates and changes

2. Operational Management:

  • Plan and direct all aspects of operations, ensuring efficiency and effectiveness.
  • Coordinate cross-functional initiatives and facilitate communication between US PREP teams and all the streams of technical assistance services.
  • Review the effectiveness of our technical assistance strategies or systems and creatively determine solutions.

3. Executive Support:

  • Serve as a trusted advisor to the Executive Director, providing insights and recommendations on key issues.
  • Prepare materials, reports, and presentations for leadership retreats.
  • Provide budget oversight and financial planning
  • Identify risks, resolve operational issues, and consult with Executive Director on financial and strategic trade-offs.

4. Project Management:

  • Lead and manage complex special projects and initiatives as assigned by the Executive Director, requiring innovation, creativity, and integration across functions.
  • Strategize, implement, and maintain operational plans, programs, and systems.ensuring successful execution and delivery of outcomes.
  • Identify and mitigate risks, resolving issues that arise during project implementation.

5. Team Leadership and Development:

  • Supervise and mentor staff within the executive office (including other managers),, fostering a collaborative and high-performing team environment.
  • Promote professional development and continuous learning opportunities for team members.
  • Lead by example, demonstrating the organization's values and culture in all interactions.
  • Supervise, mentor, and apply proficient people-management practices, including conducting formal performance reviews, providing input to employment decisions, and influencing performance and reward outcomes.

6. Communication and Collaboration:

  • Ensure effective communication with staff, stakeholders, and leadership across teams, college, and the broader university.
  • Facilitate collaboration and information sharing across the organization.
  • Use diplomacy and advanced communication skills to represent the Executive Director in meetings and events as needed.

7. Leadership Development:

  • Identify and nurture emerging leaders within the organization.
  • Develop and implement leadership development programs to build the capacity of current and future leaders.
  • Provide coaching and mentorship to high-potential employees, preparing them for greater responsibilities.
  • Promote a culture of continuous improvement, encouraging innovation and leadership at all levels.

Required Qualifications

Bachelor's degree required; Six years progressively responsible management experience. Additional education beyond Bachelor's may substitute for experience on a year for year basis.

Preferred Qualifications


  • Master's degree
  • 7-10 years of progressive professional experience, including 4+ years of management experience, preferably in a non-profit, educational, or corporate setting, with responsibility for people management, operational oversight, and budgetary accountability
