The Fox Studio Lot in Los Angeles is looking for a Facilities - Clerk B to provide clerical and operational support for the Electrical and AC departments. The Facilities - Clerk B will manage timekeeping, labor distribution, vendor coordination, invoicing, and daily administrative needs across active studio operations.

A SNAPSHOT OF YOUR RESPONSIBILITIES
Timekeeping and Labor Administration

  • Administer FoxTime timekeeping, labor distribution codes, and vacation requests
  • Coordinate with Payroll to ensure accurate labor charges
  • Review crew time and job charge codes before FoxTime entry
  • Maintain the Daily Charge Sheet Matrix records for the assigned departments
  • Prepare weekly payroll reports for assigned departments

Financial and Purchasing Support

  • Organize and reconcile AmEx receipts with monthly statements
  • Follow up with vendors, Finance, and internal teams on discrepancies
  • Prepare Capital Project Requests in Workday
  • Assist with vendor onboarding in Graphite
  • Verify, code, and submit vendor invoices in Coupa
  • Maintain and update expense-tracking spreadsheets as directed by the Director, Plant Management.

Operational and Administrative Support

  • Serve as backup clerk for Maintenance, Labor, and Paint departments
  • Answer and route calls as needed
  • Coordinate vendor deliveries and site visits
  • Initiate drive-on passes
  • Communicate with trades and staff via two-way radio
  • Coordinate job site access with Security
  • Obtain and confirm job charge codes with requesting departments and Finance.
  • Contact and schedule elevator maintenance vendors for service calls and communicate with appropriate parties
  • Support Director, Plant Management, with elevator inspection and repair records
  • Create service tickets through Studio Resources
  • Assist departments with service ticket closeout, as needed
  • Manage office supplies and general office needs
  • Pick up and deliver operational paperwork, file and organize departmental records

WHAT YOU WILL NEED

  • 2+ years of experience supporting large campus, multi-tenant, or studio operations
  • Exceptional interpersonal, verbal, and written communication skills
  • Ability to provide excellent customer service and swift resolution to questions and concerns
  • Ability to resolve conflicts professionally under pressure
  • Ability to cross-train across job functions
  • Ability to stand, walk, and sit as required
  • Able to address and communicate unforeseen situations, unplanned events, or requests, and last-minute changes with grace and professionalism
  • Excellent computer skills and proficiency with Outlook, Word, Excel, and Adobe
  • Resourceful and solutions-oriented with a high level of organizational skills
  • Self-directed and autonomous in performing duties
  • Dependable/reliable with an excellent attendance record
  • Maintain confidentiality of company and customer information, data, and materials
  • Adhere to all departmental and company safety and security policies and procedures
  • Availability for overtime with short notice

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $30.00 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
