Job Summary

The Executive Assistant will provide high-level administrative and operational support to senior leadership, ensuring seamless coordination of priorities and activities across the organization. The position will require exceptional organizational skills, sound judgment, and the ability to operate with discretion while managing a wide range of high-stakes responsibilities in a fast-moving environment. In addition to executive support, this role will coordinate corporate events from planning through execution, managing every detail with precision and professionalism. The Executive Assistant will collaborate closely with cross-functional teams to deliver engaging events that align with Meridian's brand values and mission. The ideal candidate will be proactive, detail-oriented, and committed to creating an exceptional experience for both leadership and the organization.



Key Duties

Major Duties and Responsibilities

Executive & Operational Support

    Serve as a strategic administrative partner to senior leadership, anticipating needs and proactively resolving issues.
  • Manage complex calendars, meeting logistics, and high-volume domestic/international travel.
  • Coordinate confidential communications and act as a liaison between executives and internal/external stakeholders.
  • Prepare professional presentations, reports, and briefing materials.
  • Support budgeting, expense reporting, invoice processing, and vendor management.
  • Implement and refine administrative workflows, tools, and processes to improve team effectiveness.
  • Oversee inbox prioritization, gatekeeping, message drafting, and followup management as needed.

Event Strategy and Execution

  • Lead endtoend planning and execution of corporate meetings, conferences, and special events, including annual planning, budgeting, project coordination, deadline tracking, agenda preparation, and postevent evaluation.
  • Manage all logistics for domestic and international events, including coordination with exhibit houses and external vendors, registration, travel, lodging, shipping, setup, catering, and onsite schedules.
  • Serve as the primary liaison to marketing, sales, product teams, and executive stakeholders to ensure cohesive event strategy and messaging.
  • Maintain booth assets and marketing materials, coordinate updates and replacements as needed, and support branding efforts to ensure consistency across event materials, presentations, signage, and promotional items.

Duties/Physical Requirements

  • Performs additional administrative or project-based tasks as needed to support departmental and organizational priorities.
  • Physical requirements include sedentary work for extended periods, along with the ability to lift or transport materials up to 25 lbs., stand or walk for extended durations during events, and occasionally adjust hours during key event periods, if needed.


Qualifications

Minimum Education or Equivalent Experience Required/Preferred

Required

  • High School Diploma or equivalent with atleast 7+ years of progressive experience in executive administrative support, including event management experience.
  • Demonstrated ownership of large-scale meetings, conferences, or corporate events.
  • Experience supporting VP- or C-suite-level executives.
  • Strong executive presence, discretion, and professional communication skills.
  • Proven ability to manage complex projects independently and simultaneously.
  • Experience with budgeting, vendor management, and contract negotiation.
  • Experience coordinating international events and logistics.
  • Advanced proficiency in Microsoft Office Suite; strong document, presentation, and communication skills.

Preferred

  • Experience with CRM systems, project management tools, or event platforms.
  • Background in life sciences, healthcare, or regulated industries.

Required Travel

  • Travel is up to 20%, with increased travel possible during peak event periods.
