Job Description

The Special Assets Senior Administrative Assistant supports workout relationship managers and officers across all BOKF lines of business with the booking, administration, due diligence, and portfolio management of commercial loan workout credits.

Key responsibilities include ordering appraisals, title work, and UCC searches; managing loan documentation and bookings; facilitating closings; reviewing covenants and documentation; and tracking portfolio activity, expenses, and invoices. The role also helps prepare a weekly loan and policy approval packet for senior executives and requires strong accuracy and knowledge of commercial lending processes.

How You'll Spend Your Time
  • Assist relationship managers by gathering current documentation for transferred loans and ordering appraisals, title policies, and UCC searches.
  • Maintain and file all documentation in the loan system.Review documentation for new loans, modifications, and recourse actions to ensure accurate and compliant booking.
  • Manage expense tracking spreadsheets and process vendor and attorney invoices.
  • Support relationship managers in ensuring full compliance with bank policies and procedures.
  • Communicate with customers regarding loan and deposit matters with professionalism and confidence.
  • Play a key role in preparing detailed weekly and quarterly reports for senior executives, where accuracy and attention to detail are critical.
  • You will develop, design and maintain information in spreadsheets and data base programs; distributing to key stakeholders and directed.
  • You will act as a liaison for department, updating schedules and calendars for division manager and other professionals.
  • You will assist in research and development of special projects.
Education & Experience Requirements

Required level of knowledge is normally acquired through completion of an Associate's Degree and 4 years' experience in a banking or customer service environment or an equivalent combination of education and experience.

SKILLS:

  • Well-developed understanding of:
  • Lending practices and policies
  • Loan documentation requirements and regulations
  • Deposit, loan, and investment systems for report generation and information gathering purposes
  • Commercial credit analysis
  • Loan documentation and lien perfection requirements
  • Litigation processes under county, state, and Federal systems
  • Thorough knowledge of BOKF Commercial loan processes and workflows
  • Solid Excel and Word experience
  • Well-developed oral and written communication skills to effectively represent self and BOKF
  • Solid conceptual thinking and analytical skills with the ability to analyze complex problems that include interrelationships and dependencies in order to identify common themes and solutions
  • Ability to effectively plan time, method, manner and sequence of own work assignments
  • nCino experience is a plus - (INC)
