The Department of Anesthesiology at Duke University is seeking a Program Coordinator to support the department's residency and fellowship programs as part of the Department of Anesthesiology's Education Team.

Occupational Summary

The Assistant Program Coordinator supports the Program Directors and GME Program Coordinatorswith all aspects of the day-to-day program operations. This position is supervised by the Residency GME Program Coordinator.

Work Performed

ProgramManagement



  • Acquireknowledge of current rules, regulations, andinstitutionalrequirements. Develop a thorough knowledge of residency databases toenhance residency programs and departmentefficiency andupdateannually.





  • Attend andparticipatein all GME related meetings.





  • Compile necessary data for continuous quality improvement and accreditation.





  • Organize and update program didactics and meetings on multiple platforms includingMedHub, weekly.





  • Manage annual evaluations for trainees, faculty, and program staff involved in graduate medical education.





  • Manage verification and credentialing requests from former residents and current faculty.





  • Communicate with trainees and Department Leadershipregardingdepartmental and program activities.





  • Communicate in person and by email regularly and professionally with residents, faculty, and staffregardingvarious activities, requests, and deadlines.





  • Manage booking of conference rooms, audio visual requests, and catering as needed for meetings and events.





  • Provide support for special projects andadditionalduties as needed, including occasional work outside standard business hours.





  • Assisttrainees withbadge and scrub access issues.





  • Managing thelogisticsfor residents traveling to meetings/conferences, including registration, hotel, flight, presentationpostersand travel reimbursements.





  • Assistwithorganizing and planningtheintern andresident orientations.






  • Organize team meetings and departmental activities asrequired.



Recruitment



  • Assistin the planning,coordinationand execution of thelogisticsfor interview daysincluding the creation, design, and publishing of all recruitment material sent to prospective trainees.





  • Assistswithtime management, room preparation,cateringand other tasksfor in-person interview days.For virtual interview days,assistancewithlogisticsvia Zoom orotheronlineplatformmay be needed.





  • Acquireknowledge oftheSanFranciscoMatch, ElectronicResidencyApplicationService (ERAS), and the AAMC National Resident Ranking Program(NRMP)and their applicable schedules,policiesand procedures.

  • Able to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines.

Minimum Qualifications

Education

Work requires analytical,communicationsand organizational skillsgenerally acquiredthrough completion of a bachelor's degree program.



Experience


Work requires one year of experience in program administration or AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic,instructionalor counseling activities toacquireskills necessary to plan, coordinate and implement a variety of program activities and events.

Anticipated Pay Range:

Duke University provides an annual base salary range for this position as USD $44,766.00 to USD $71,706.00.
