The Virtual Event Planner oversees the planning, coordination, and execution of approximately 24-32 virtual events per year, including thought leadership, accreditation, and product webinars. This role partners with cross-functional stakeholders to deliver polished, on-brand virtual experiences. Strong communication skills, technical aptitude, and attention to detail are essential.

What you will do:

  • Plan and deliver quarterly webinars for BTAX and BLAW (approx. 24 annually), plus 8 product webinars.

  • Manage and process webinar intake forms, ensuring timely and complete information.

  • Own the full event workflow and maintain consistent communication with stakeholders, starting 8+ weeks pre-event for programs that offer accreditation.

  • Build and test certification tools in ON24; support manual certificate delivery when needed.

  • Build and manage registration pages and event consoles.

  • Coordinate physical conference room reservations when required. Schedule and lead all tech run-throughs, dry-runs, and pre-event prep.

  • Manage live event technology and real-time troubleshooting.

  • Serve as the internal company expert on ON24. Attend trainings and meetings with the platform customer success team.

  • Maintain templates, documentation, and best practices.

  • Coordinate with Demand Generation on event promotion timelines.

  • Ensure the smooth transition from live to on-demand event promotion.

You need to have:
  • 3+ years managing virtual or hybrid events.

  • Familiarity with webinar platforms and virtual event execution.

  • Experience coordinating event logistics, timelines, and stakeholder communication..

  • Excellent communication, organizational, and time-management abilities.

Preferred:
  • Experience working with marketing, demand generation, and content teams.

  • General understanding of accreditation requirements for events that offer CLE, CPE, and RCH.
