Business Operations Analyst IV

Responsibilities

The Business Operations Analyst IV will operate within the Ground Systems Support Program Management Office (PMO) and is responsible for providing a wide range of complex and confidential administrative support to both line and leadership members of the Space and Mission Engineering team. The selected candidate will be expected to autonomously accomplish day-to-day operations, provide excellent customer service, work well with employees at all levels, take initiative, and execute projects with positive results.

Key Responsibilities:

  • Competently and professionally handle information that is sensitive, complex and confidential
  • Proactively anticipate and manage day-to-day administration and operational tasks, interface with corporate support functions on behalf of the PMO and larger team, and identify opportunities for continuous process improvement
  • Coordinate and manage complex schedule requirements
  • Schedule and coordinate travel, conference calls, team meetings, and related activities
  • Provide program onboarding assistance to hiring managers, security, and on behalf of the PMO
  • On behalf of the PMO, and in support of the entire contract team, support the coordination and tracking of various logistics, facilities, and IT-related requests from identification of need through closure
  • Collaboratively facilitate and strategize the development of strong working relationships between the Program and corporate representatives within IT, HR, Finance, Facilities and Executive Leadership
  • Arrange and provide end-to-end support to various program events/conferences, including identification and selection of facilities, coordination of refreshments, generation and management of communications (information/invitations), coordination with enabling functional groups as required, including audio/visual/security support, and support set up/tear down activities
  • Compose and edit correspondence and various program products and artifacts, for internal and external audiences as authorized, coordinate follow-up actions, and outreach
  • Prioritize and circulate information and content to appropriate staff, external individuals and organizations
  • Identify and manage PMO procurement needs and related expense reporting
  • Maintain the upkeep of printers, copiers, and related equipment to include acquiring/replacing toner, paper, and supplies
  • Manage the purchasing and restocking of the Program's in-house canteen
  • Monitor communications (email/mail/phone), as well as forward to the appropriate staff person for action, answer/route telephone calls, transmit decisions and instructions and answer inquiries to aid leadership in the resolution of routine matters and execution of standard corporate, Program, and customer processes
  • Remain knowledgeable of corporate policies, processes, systems, goals, and activities, and points of contact
  • Assist leadership as they tackle the unexpected

Qualifications

Required Skills:

  • Must possess and be able to maintain a TS/SCI with polygraph clearance
  • BS 8-10, MS 6-8, PhD 3-5
  • Must be highly proficient with Microsoft Office Suite and competent in using common desktop applications, internal systems, and collaboration tools such as SharePoint and Confluence
  • Demonstrated excellent written and verbal communication and interpersonal skills
  • Proven experience in supporting business operations and managing confidential information in a systems engineering, security, IT, HR, or related environment
  • Able to manage multiple tasks simultaneously with professional tact
  • Able to deliver high quality products and services via a highly proactive approach
  • Experienced with improvement and standardization of basic administrative processes
  • Demonstrated analytic skills with ability to quickly interpret and organize data and information
  • Able to lift or facilitate the lifting of boxes and supplies up to 15 lbs
  • Exceedingly well organized, flexible and enjoys the administrative challenges of supporting a large, complex Program team in a very fast paced environment

Desired Skills:

  • Demonstrated experience supporting a large contract PMO and team within the IC
  • Demonstrated experience supporting executive-level Corporate and/or IC leadership
  • Understanding of general Systems Engineering functions and processes
  • Familiarity with government contracting security-related processes
