DESCRIPTION

The UC San Diego Labor Center is seeking a dedicated and motivated candidate to serve as the Operations Assistant. This position will be instrumental in anchoring our efforts in San Diego by coordinating outreach events, developing programs, and building strong organizational relationships within the community and with labor organizations.

The Operations Assistant will provide executive-level administrative support to the Executive Director of the UC San Diego Labor Center on a wide range of assignments. Manages day-to-day administrative operations, and provides special project support. Assists with coordination of special events. Interacts with Labor Center personnel, develops and implements procedures, communicates these procedures to team members, and documents and archives developed protocols. Responsible for purchasing supplies, oversight of routine and exceptional account expenditures, and creating, maintaining and reconciling budgets. Responsible for coordinating hiring and onboarding for undergraduate students and short-term employees.

QUALIFICATIONS
  • Demonstrated ability providing operational support to high-level administrators.

  • Demonstrated ability to recommend operational policy or procedural changes to improve business office practices.

  • Extensive PC and software experience to include Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite and Internet navigation.

  • Excellent customer service skills/interpersonal skills including tact, diplomacy and flexibility in order to work with a variety of individuals, from different cultures, in differing roles and in a variety of situations.

  • Demonstrated skill to effectively compose a variety of written materials (correspondence, reports, etc.) in appropriate format. Excellent skill and ability to proofread and correct for grammar, spelling, punctuation, typographical errors, clarity, syntactical correctness and continuity. Ability to adapt writing style as needed. Ability to write concisely, persuasively and in summary form.

  • Demonstrated experience monitoring expenditures and reconciling budgets.

  • Resourcefulness in independently finding appropriate solutions to complex problems, operational and administrative, and use of initiative in implementing solutions or making recommendations. Excellent ability to anticipate problems and take necessary actions to mitigate potential negative effects.

  • Excellent time management and organizational skills to manage multiple responsibilities concurrently, including organizing work, setting and maintaining priorities, meeting deadlines and meeting quality and quantity standards. Flexibility in dealing with people and competing demands. Ability to work with frequent interruptions.

SPECIAL CONDITIONS

  • Must be willing and able to travel.

  • Must occasionally be able to work evenings, weekends and a flexible schedule to meet deadlines and event needs.

  • Overtime may be required.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
