The University of Arizona Cancer Center (UACC) seeks an Administrative Support Assistant III to provide comprehensive administrative support to the Community Outreach & Engagement (COE) Office. This position supports core business operations by coordinating calendars, travel, meetings, and events; preparing and formatting correspondence, documents, and reports; maintaining files, databases, supply inventories, and data trackers; and routing facilities, IT, and HR service requests in accordance with University policies. Serving as the primary point of contact for students, faculty, researchers, and community partners, the incumbent communicates information, compiles records, and provides guidance on administrative procedures to ensure smooth program operations.

Duties & Responsibilities
  • Maintains calendars for Associate and Assistant Directors. Prepares background information required. Manages travel arrangements for departmental staff (including flight and ground transportation components), greet visitors, triage calls/email, order supplies and equipment, process mail, maintain office records and inventory, and orient student workers as needed.
  • Assist with organizing Community Advisory Board (CAB) meetings, guest visits and other COE activities/meetings (scheduling, parking reservations, building access, AV/virtual platforms, presentations, agendas, minutes); submit facilities/IT service requests; process event reservations, research-incentive paperwork, PCard reconciliations, reimbursements and CAB stipend payments; monitor standard expenditures to keep activities within established budgets.
  • Prepares, edits, and creates proposals and presentation materials utilizing specialized knowledge of the area supported. Format non-scientific sections of reports and presentations. Assists with preparation and formatting of correspondence and document packages after content has been approved by authors/leadership; ensures adherence to external or UA formatting guidelines.
  • Records & Data Maintenance - Maintain digital/physical files, contact lists, and simple spreadsheets; compile routine data reports; track milestones and materials for complex meeting series or cross-unit/center events.

Knowledge, Skills & Abilities:

  • Proficient with Microsoft 365, Zoom, Adobe.
  • Strong written/verbal communication and customer-service skills.
  • Excellent organization, time-management, and attention to detail.
  • Ability to prioritize independently while collaborating in a diverse environment.
  • Working knowledge of basic databases/spreadsheets; strict commitment to confidentiality and inclusive service.
  • Ability to drive according to the University Fleet Safety Policy. (link to Fleet Safety Policy)
  • Ability to occasionally attend program events in the evening and/or weekends.
  • Ability to travel to program events locally and in surrounding counties.

Minimum Qualifications
  • Bachelor's degree and 1 year of relevant work experience. OR
  • Associates degree and 3 years of relevant work experience. OR
  • High School Diploma degree and 5 years of relevant work experience.

Preferred Qualifications

  • Minimum of 3 years of relevant work experience.
  • Bilingual in English and Spanish.
  • Experience working in University systems: UAccess (Student, Employee, Financial, Analytics, Research)
