The Opportunity

We are seeking an Information Management Regional Supervisor to join our Washington, D.C. office. This position oversees regional and global special projects related to the Firm Records Management processes, specifically related to destruction and client file transfers and acts as a key resource and liaison for the Firm's attorneys, clients and business services professionals, offering advice, instruction and guidance when necessary and ensuring compliance with Firm processes at all times. The Information Management Regional Supervisor is responsible for providing guidance, direction, mentorship, and instruction to Information Management and Records business services professionals in the Washington, D.C., and Wilmington offices in coordination with the Information Management Global Manager. Please note that the Firm will not sponsor applicants for work visas for this position.

  • Supervises regional Records Management business services professionals in the Washington, D.C. and Wilmington offices to ensure best practices are being followed.

  • Oversees regional records requests for the Washington, D.C. and Wilmington offices, ensuring that they are handled in a timely manner.

  • Oversees global special projects as assigned, coordinating with other departments and firms as necessary.

  • Assists Global Manager with project team staffing, communication, training and resource issues to ensure proper coverage.

  • Coordinates client file requests; involving IT, General Counsel's office and other departments, as needed.

  • Coordinates data and file destruction requests related to protective orders, confidentiality agreements and other client-specific obligations.

  • Oversees attorney departure file and email reviews, including data file transfer when applicable.

  • Reconciles files of departing paralegals.

  • Identifies and assists in design and preparation of training materials and provides training to the Information Management and Records team, other business services professionals and attorneys.

  • Assists in implementing and administering retention and quality control programs.

  • Assists management in development of best practices to achieve an electronic client file.

  • Assists management in determining need for change in existing Records Management processes, and in developing and implementing the same.

  • Prepares reports and summaries through data manipulation and analysis in Excel using formulas, pivot tables and other advanced functions.

  • Analyzes reports and data patterns to identify duplicative records and/or data anomalies, such as missing, incomplete, or inaccurate entries found in the Firm's Records Management Systems.

  • Ensure the accuracy and integrity of the data stored within the Firm's Records Management Systems by updating and maintaining pertinent identifying information related to physical project files.

  • Performs searches in the Firm's databases and Records Management Systems to locate and retrieve onsite and off-site Firm records.

  • Reconciles off-site box vendor reports against the Firm's records.

  • Researches and reconciles issues through analysis of historical data, review of email chains and interviewing case teams and other department members.

  • Assists in the development of department workflows to efficiently process large volumes of file containers.

  • Coordinates globally across offices for file retrieval, archival, and destruction as necessary.

  • Communicates department and Firm best practices to partners, attorneys and business services professionals to ensure that file keeping best practices are followed.

  • Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development for business services professionals.

  • Participates in the interviewing, selection and training process.

  • Recommends and implements changes and improvements in methods and procedures to higher level management.

  • Coordinates and oversees department projects, day-to-day operations and long-range plans.

  • Monitors time, attendance, overtime, and expense reports to ensure accuracy and compliance with Firm policies.

  • Effectively utilizes the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage unsatisfactory performance.

  • Oversees employees' work performance and provides guidance in the resolution of problems.

  • Initiates disciplinary procedures in collaboration with the Human Resources Department.

  • Recommends guidelines and practices to promote efficiency, effectiveness, excellent customer service and improved employee relations, in alignment with the Firm's Core Values.

  • Ensures accurate and timely responses to requests for departmental services.

  • Regular and reliable physical presence to (ex: work as part of a team, meet with clients, use on-site equipment, etc.)

  • Monitors weekend and after hours projects, assisting where necessary to meet deadlines.

  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.

  • Maintains a complete understanding of the Firm's records management processes, best practices and systems.

  • Manages Firm resources responsibly.

  • Complies with and understands Firm operation, policies and procedures.

  • Performs frequent physical exertion including: standing, walking, bending over, twisting, reaching above shoulder level, pushing, pulling, repetitive use of both hands, lifting or carrying up to 50 pounds.

  • Performs other related duties as assigned.

Qualifications

  • Current knowledge of industry best practices, trends, and techniques

  • Ability to administer Firm policies and procedures

  • Knowledge of relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems

  • Knowledge and implementation of the annual budget process

  • Excellent analytical, troubleshooting, organizational, and planning skills

  • Ability to effectively supervise others

  • Knowledge of database searching syntax and logic, familiarity with keyword and term searching.

  • Knowledge of TXT, CSV and PST file types

  • Ability to manipulate data using advanced Excel functions

  • Familiarity with productivity tools used for file transfers and copies (FTP), file compression (RAR and ZIP) and encryption (TrueCrypt)

  • Ability to use Windows commands to move, copy and zip files for FTP posting or saving to media

  • Demonstrates ability to organize, execute and track tasks and timelines to ensure project progress

  • Ability to read, interpret and follow instructions

  • Demonstrates effective interpersonal and communication skills, both verbally and in writing, including the ability to describe complex technical concepts and ideas in non-technical terms

  • Demonstrates close attention to detail

  • Ability to work well in a demanding and fast-paced environment

  • Ability to handle multiple projects and shifting priorities.

  • Ability to organize and prioritize work and delegate effectively

  • Ability to handle sensitive matters and maintain confidentiality

  • Ability to use discretion and exercise independent and sound judgment

  • Ability to work well independently as well as effectively within a team.

  • Ability to exert moderate to high physical effort.

  • Flexibility to travel

  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

Education & Experience:

  • Bachelor's degree or an equivalent combination of education and experience

  • Minimum of five years of directly related experience in a law firm or legal department including three years of supervisory experience

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

$120,000 - $130,000
