Job Description

Pay: $15/hour

Work Schedule: Monday - Friday 9am - 2pm

Part-Time position is eligible for direct primary care coverage. In addition, these positions are eligible for paid time off in the form of vacation, sick, holiday, floating holiday, jury duty, and bereavement leave. All employees may also make pre-tax or post-tax (Roth) contributions to our retirement plan - must be 18 years of age to participate.

JOB SUMMARY:

The Administrative Assistant I, Fleet Maintenance will assist the Fleet Maintenance Department with receptionist and administrative functions. As the face of the Fleet Maintenance Department, this front-facing position is the customer's first impression of the department. This position greets customers either in person or via telephone and will assist them in a professional and efficient manner. This position will assist the department with clerical support, accounts payable duties, as well as scheduling customer appointments.

ESSENTIAL FUNCTIONS:



  • Prepare and submit electronic invoices to various companies with billing software (e-Maintenance).
  • Assist Fleet Maintenance Manager and department by researching and purchasing needed equipment, parts, etc.
  • Assist in organizing vehicle records and follow up on vehicle maintenance requirements.
  • Work closely with all customers to ensure clear understanding of their invoices and other communications.
  • Keep track of repair parts/supplies and reorder when needed.
  • Assist in comparing the cost of repairs and/or repair parts to ensure the greatest savings for Goodwill.
  • Sign for incoming parts, ensuring that orders received are correct and complete.
  • Must have strong work ethic, problem-solver, and team player.
  • Ability to understand and follow all Goodwill safety standards and guidelines, and to read, comprehend, and follow Goodwill Employee Handbook, departmental manuals, and all numbered or supplemental memorandums.

Education:



  • A High School diploma or equivalent is preferred.


Experience:



  • Previous administrative experience with fleet/vehicle maintenance billing, customer scheduling, ordering parts, etc.
  • Previous Goodwill experience is preferred.


Other:



  • Computer Skills include Word, Excel, Internet and inventory/billing software.
  • It is preferred that the incumbent have excellent written and verbal communication skills and demonstrate the ability to interact with various types of internal and external customers.
  • The incumbent must have the ability to work independently, to be resourceful and creative in problem solving.
