Manages core administrative operations in the Department of Latin American and Latino Studies in four primary areas: the graduate programs in LALS; programming and special events in the department; communications and outreach; and general administrative support.

Duties & Responsibilities

Graduate Program Administration:
  • Organize and work with Director of Graduate Studies to lead the fall LALS Orientation for incoming MA students and to train new Teaching Assistants.
  • Facilitate academic and professional development workshops in collaboration with the Director of Graduate Studies.
  • Track graduate student progress and hold advising meetings with each student at beginning and end of semester and as needed.
  • Support the DGS (Director of Graduate Studies) with any administration that is related to the program (leaves of absence, paperwork for students' grant and fellowship applications, BOTs, database maintenance, prospective student applications, management of graduate admissions on Slate software, recording of any incomplete grades).
  • Organize graduate student check-ins and other events.
  • Organize the onboarding of international graduate student and serve as liaison with the Office of International Services (e.g., work with this office to facilitate visas for international graduate students.
  • Organize annual graduate student research events (workshop, symposium, etc).
  • Compile record of graduate applications and prepare files for review and processing.
  • Perform other graduate program administrative tasks as needed.

Programming and Event Administration:
  • Plan, develop, organize and carry out program events, i.e. lectures, brown bags, forums, community dialogues, lectures in the community, book presentations, meetings, and conferences.
  • Coordinate educational, cultural and social activities between the University Campus and the community at large.
  • Organize the LALS Degree Recognition Ceremony.
  • Assist the Chair in planning and coordinating development and alumni events, including fundraisers.
  • Actively search for event sponsors, co-sponsors and collaborators, increasing our networking, outreach and inter-departmental collaborations.
  • Perform other graduate programming and event tasks as needed.

Communication and Outreach:
  • Identify, establish, and implement communication and liaison procedures with the community at large and the campus community while assisting in the development of department activities.
  • Develop publicity materials (flyers, newsletter, etc.) and targeted outreach for all programs and events.
  • Maintain contact with the Latino and the General Media.
  • Respond to and direct media interview requests to the appropriate faculty, program or community contact.
  • Maintain an on-going network within both campus and community, communicating programs and activities to campus and community members, update university calendars and oversees the distribution of flyers.
  • Identify new outreach contacts in the University and community for greater dissemination of information.
  • Perform other outreach tasks as needed.

General Administrative Support:
  • Serve as first point of contact for department.
  • Actively participate in day-to-day office duties (answer phones, etc.).
  • Maintain a calendar for the Department's Conference Room and be responsible for the room's appearance.
  • Answer information requests from the community.
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications:

1. Bachelor's degree.

2. A total of one (1) year (12 months) experience in graduate program administration and/or student advising within a higher education setting.

3. Must be able to communicate effectively (written and verbal) in both English and Spanish.

(Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications:
  • BA in a related field (Latino Studies, Latin American Studies, Anthropology, African American Studies, Ethnic Studies, Gender Studies, other related interdisciplinary fields, social sciences, humanities).
  • Master's degree or substantial graduate credits.
  • Work experience related to directing/administering graduate programs, including policy interpretation, advisement of university officials, advisement of students, and implementation of policies and procedures.
