Reporting to the Assistant Director - Phoenix Health Science Center (HSC), this position is responsible for assisting with the day-to-day coordination of event and building operations for Phoenix campus event spaces. This includes engaging in the planning process of events from the beginning through execution of the event. Analyzing operation reports for events; event set-up/tear-down; making last-minute event set-up alterations; discussing equipment operations; conducting routine maintenance and inventory of equipment; and ensuring proper use of equipment; organizing and flexing schedules to complete assignments according to timelines. Provide support in other departmental efforts, such as micro market operations, Fitness Center operations, and other operational needs in Phoenix. This position will also support other building operations needs in the absence of the Front Desk Admin and/or Sr. Director of Building Operations.

Essential Functions:

  • Assist for the day-to-day coordination of event and building operations for Phoenix campus event spaces under the direction of the Assistant Director, including engaging in the planning process of events from the beginning through execution of the event. Analyzing operation reports for events; event set-up/tear-down; making last-minute event set-up alterations; discussing equipment operations; conducting routine maintenance and inventory of equipment; and ensuring proper use of equipment; organizing and flexing schedules to complete assignments according to timelines. Provide support to management of the facility including locking and unlocking the building and event spaces; scheduling event set-up/tear down crews, collaboration with property management on security and custodial needs, assisting with emergency response; clerical, administrative and general office duties as required. Assist with the hiring process of student building support for set up / tear downs as needed
  • Provide day-to-day support and serve as key liaison for incoming requests to department & event vendors which includes meeting/greeting vendors, provide access and direction to all event vendors on a daily basis as needed.
  • Provide strong audio visual and other technology support as well as customer service in collaboration with the Department of Information Technology. Review the event set-up, discuss equipment operation; and make last-minute alterations according to client's request. Make recommendations to the Assistant Director regarding media and technology needs for the Phoenix Health Sciences Center and other non-academic room reservations including new computers, A/V technology, and other supplies for events and the buildings
  • Provide support and day-to-day oversight for the operational needs of Departmental event space and equipment inventory, Phoenix Micro Market, Vending Operations, Coffee Service, and the Phoenix Fitness Center; Includes regular building-walkthroughs to identify work order/facility needs, follow-up on open work orders, and identification of operational areas of improvement.
  • Provide representation as the on-site professional staff member during key university or community events.
  • Perform other duties as assigned.

Education & Experience:

  • Bachelor's degree and one year of work-related experience, or equivalent combination of education and experience.

Knowledge, Skills, and Abilities

  • Strong organizational skills with attention to detail and knowledge of technology, sound systems and multimedia required while working under minimal supervision.
  • Knowledge of event scheduling.
  • Interpersonal/human relation skills.
  • Written and verbal communication skills.
  • Strong customer service skills.
  • Ability to maintain calendar, schedules, and event files.
  • Ability to operate computer and various software packages.
  • Ability to work various nights and weekends is required.
