Job Overview:
The Payroll Administrator plays a key role in the Finance or HR department, overseeing the accurate and timely processing of payroll in accordance with company policies and applicable laws. This position is responsible for auditing and verifying employee time and compensation data, administering system updates, supporting training efforts, and serving as the primary point of contact for payroll-related inquiries.

Key Responsibilities:

  • Serve as the primary payroll contact for all employees, responding to questions and resolving issues related to compensation, deductions, time reporting, and payroll discrepancies.

  • Administer and support UKG payroll system processes, including daily monitoring of time entries, troubleshooting system issues, and assisting employees with time entry corrections.

  • Lead payroll overview sessions during Fire Academy training for newly hired employees and provide ongoing UKG training as needed.

  • Perform pre- and post-payroll audits to ensure data accuracy and compliance with organizational and regulatory requirements.

  • Verify payroll changes, pay rate adjustments, promotions, and other employee changes with department leadership, including Chiefs, Battalion Chiefs, and field personnel.

  • Collaborate cross-functionally with Scheduling and Operations to ensure alignment between hours worked, hours billed, and hours paid.

  • Ensure timely and accurate payroll processing on a biweekly schedule (transitioning to weekly effective 01/01/2026).

  • Maintain compliance with federal, state, and local payroll regulations, including wage and hour laws and prevailing wage requirements.

  • Support and maintain accurate payroll records and reports, including those related to project-based wage compliance and prevailing wage rate monitoring.

  • Assist with Salesforce scheduling reviews and reconciliations to ensure data consistency across platforms.

  • Contribute to continuous improvement efforts in payroll operations and provide backup support across all areas of the payroll function as needed.

Qualifications:

  • Proven experience in payroll administration, preferably in a high-volume or complex payroll environment.

  • Strong knowledge of payroll systems (UKG experience preferred), timekeeping systems, and payroll compliance regulations.

  • Excellent analytical skills with attention to detail and a high level of accuracy.

  • Ability to work independently, manage multiple priorities, and collaborate effectively with cross-functional teams.

  • Strong communication and interpersonal skills to interact with employees at all levels of the organization.

  • Experience with Salesforce and prevailing wage projects is a plus
