Job Description

Join our fast-paced insurance defense legal team as a Counsel Support Associate. This hybrid role is ideal for someone who is organized, efficient, and comfortable balancing administrative legal work with physically active mailroom duties. You'll play a vital part in the day-to-day functioning of the office by handling high volumes of mail, supporting litigation processes, and contributing to legal case management. This is a hands-on opportunity to grow within a legal environment, whether you're experienced or looking to start your career.

Key Responsibilities

Mailroom & Administrative Operations (In-Office)

  • Handle incoming/outgoing mail, including lifting and transporting mail buckets weighing 20-25 lbs.
  • Open, index, scan, and electronically drop-file legal documents and correspondence.
  • Order and manage office supplies and perform regular office errands (e.g., trips to FedEx/USPS).
  • Support the setup and closure of case files.
  • Maintain a clean, organized, and efficient mailroom and workspace.

Legal & Case Support (Hybrid - In-Office and Remote)

  • Assist attorneys by calendaring hearings, trials, and depositions.
  • Support e-filing and distribution of legal documents.
  • Set up internal tasks and reminders for legal staff review.
  • Communicate with courts, clients, claim representatives, and opposing counsel in a professional manner.
  • Use Team Connect or similar systems to ensure data accuracy and compliance.

Training & Schedule

  • Initial training is hands-on and primarily in-office to ensure a strong foundation.
  • After training, this position transitions to a hybrid model: 3 days in office (including mailroom operations) and 2 days remote (supporting digital legal functions).

Qualifications

  • Previous legal administrative support experience is a plus, but not required.
  • Prior mailroom, office coordination, or clerical experience in a fast-paced setting is beneficial.
  • Strong multitasking, organization, and time-management skills.
  • Must be able to lift 20-25 lbs and stand/walk for extended periods during mail processing.

Education & Experience

  • High School Diploma or GED preferred.
  • Equivalent combinations of education and relevant experience will be considered.

Supervisory Responsibilities

This role does not include supervisory duties.

Compensation

Compensation offered for this role is $18.65 - 29.54 per hour and is based on experience and qualifications.
