The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.
In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.
Posting Summary
Rutgers, The State University of New Jersey is seeking an Accounting Assistant I for the School of Environmental and Biological Sciences. Directly Reporting to the Business Manager III within the office of finance and Business Administration, this position is responsible for financial management of all funding sources and processes various financial documents and data.

Among the key duties of the position are the following:

  • Analyzes data and prepares and monitor financial documents/data and reports for internal and external use in a manner consistent with a strong understanding of the mission, vision, role and goals, as well as those of the business, and other unit, and the tasks and responsibilities of an Accounting Assistant I.
  • Provides financial and accounting support to the assigned department.
  • Prepares action documents (including but not limited to submission and reconciliation of Purchase Orders and Requisitions, Internal Purchase Orders (IPO's), Expense Reports, Journal Entries, Travel Orders, RU Cash Receipts) utilizing proper departmental accounts, Faculty accounts, and grant accounts.
  • Independently works on expenditure analyses, prepare spreadsheets for grant closeouts, and prepare and reconcile projects' monthly expenditure reports for the Business Specialist's review.
  • Works with the Business Manager and the SEBS Business Office to ensure that actions have appropriate documentation, justification, backup and approval.
  • Interacts directly and independently with department personnel to obtain fund sources and details supporting purchases, travel and expense reimbursement requests and other financial actions.
  • Responsible for reconciling all travel charges made using necessary tools such as internal databases, and University Cornerstone applications (such as Expense Management, RU Marketplace, Financial Management. etc.).
  • Reviews accounts to ensure actions are correctly posted such as: purchases; revenue; cost transfers and other actions.
  • Works to help ensure compliance with University and School of Environmental and Biological Sciences (SEBS) business practices.
  • Ensures proper procedures are followed regarding financial controls and handling of funds.
  • Responsible for maintaining accurate and reliable financial records; implements systems as necessary to facilitate reporting on account statuses.
  • Works under direct supervision on some tasks but will also be independently responsible for high volume of daily processing of financial documents, within established work parameters.
  • Assists with the preparation of financial and salary analyses and reports for the immediate supervisor on a regular basis, as required.

Qualifications


Minimum Education and Experience

  • Requires a bachelor's degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles (GAAP) and practices.
  • Also requires a minimum of two years relevant experience in a financial/accounting function, good communication skills, and computer literacy.

  • Must be able to think broadly and conceptually and formulate creative, sophisticated solutions to complex problems, prioritize workload, and work independently with general supervision.
  • Must be detail oriented, follow up, and keep task originators informed on task progress throughout process until completion.
  • Must continuously notify director of progress and workload to ensure that deliverables are on schedule.
  • Work to be done is professional level work that requires knowledge of financial/accounting work and practices, and the basic application and use of concepts, theories, and terminology of the unit administration in addition to serving as a liaison for the Business Office.
  • The position requires a strong familiarity with Generally Accepted Accounting Principles and Practices (GAAP), Federal, State, and University accounting policies and practices/procedures, and a good understanding and application of concepts, theories, principles, practices, and terminologies in applied accounting.

Preferred Qualifications

  • Working knowledge with Rutgers University system applications such as Oracle Financial Management, Expense Management, HCM, Tableau and SciQuest (Marketplace) Procurement is valued.
  • Ability to create custom reports and complex financial analysis utilizing excel is preferred.
  • Experience in higher education environment highly valued.
  • Experience that demonstrates knowledge and understanding of federal regulations and cost principles applicable to institutions of higher education.

Equipment Utilized

  • Proficiency in Microsoft Excel, Word and PowerPoint; ability to use Microsoft Teams, Outlook Calendar, WebEx, Zoom, Adobe Acrobat, and DocuSign is required.
  • Computer literacy in Windows, and ability to utilize applications such as Word, e-mail and internet browsers.
