Summary

Howard S. Wright, a Balfour Beatty Company, is seeking an Office Assistant to join our team in Seattle, Washington. Essential Functions

Receive and distribute mail and packages, maintain vendor database, manage copier and postage machine maintenance, coordinate office supply ordering.



  • Picks up, sorts and distributes incoming and outgoing mail.
  • Prepares outgoing and receive incoming UPS and Federal Express shipments.
  • Maintains mailroom equipment and department office machines (including but not limited to postage meter, printers, copiers, etc).
  • Programs copiers for changes in current job numbers.
  • Answering and forwarding incoming phone calls.
  • Screens visitors and provides access to space.
  • Assists with setup and breakdown for office events and functions.
  • Assists with catering ordering & setup for meetings
  • Maintain office areas and coordinate with landlord when/as necessary.
  • Performs messenger/courier duties as needed.
  • Responsible for ordering, storing and distributing office supplies.
  • Sets up new employee phones, elevator codes, and security cards as applicable by Division office for the building and code for the usage of the copier tracking systems.
  • Codes invoices such as phone bills, supplier bills, etc.
  • Responsible for all records storage for the office and all jobsites.
  • May provide administrative support to departments needing filing, data entry, assembling mail out packages, producing reports, scheduling conference rooms, ordering business cards, etc.
  • Manage accounting inbox mail distribution and vendor statement research through Outlook and JDE.
  • Stocking office consumables in main office areas.
  • Coordination of bond signatures and distribution


Minimum Requirements



  • High school diploma plus 1-2 years general office or related experience required.
  • Able to communicate effectively verbally and in writing.
  • Relates well to all levels of staff and consistently provide Service Excellence to all customers.
  • Able to organize tools, equipment, and other resources to execute assigned tasks concurrently.
  • Show personal commitment to improving skills.
  • Act in a manner of integrity that shows support for the company, its values, and the employees, while maintaining constant focus on meeting/exceeding customer requirements and expectations.
  • Able to use time effectively based on key priorities.
  • Possess basic computer literacy and data entry skills on a personal computer (PC) and communication tools, such as email, internet, and Microsoft products (e.g., Word, Excel, Office, Outlook).


Working Conditions



  • The majority of work is completed in an office setting.


The compensation range for this position is $60,000 - $70,000 annually.
