Contract Administrative Assistant

Under the direction of the Contract Administrator, helps move construction projects towards completion by performing tasks which typically include production and distribution of collateral file management, data collection, report creation, proofreading, research, large document assembly and team collaboration. Provides administrative support to complete a variety of projects and ongoing daily administrative tasks for the Project Team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

These duties are those typically performed in this position. Employee may not perform all the listed duties and/or may be required to perform additional or different duties.



  • Provide support to Contract Administrator, Estimators, Project Managers & key personnel throughout bidding process and contract.
  • Coordinate with estimating team to format, proof, edit and assemble bid and private proposals as needed.
  • Attend Pre-bid and/or Project Meetings as needed.
  • Assist in contract compliance from project award through final closeout.
  • Assist in coordination, collection, tracking correspondence and construction documentation for multiple projects.
  • Assist with Small Business Participation and Subcontracting Program.
  • Assist with preparing/submitting workforce and minority utilization forms and prevailing wage requirements/compliance, collection/tracking of insurance and employee site clearances.
  • Assist, schedule and partake in periodic travel.
  • Assist with a variety of tasks for other departments including invoicing, accounting functions, and back-up coverage for Receptionist.
  • Work within and promote corporate vision, mission, and values of the organization.
  • Performs other duties as assigned.



REQUIRED EXPERIENCE, SKILLS AND EDUCATION

The following generally describes the knowledge and ability required to enter the job and/or learned within a short period of time to successfully perform the assigned duties.



  • Minimum AA Degree or equivalent education and related experience required.
  • Valid Driver License required.
  • Prior experience in construction and/or State and Federal procurement is a plus.
  • Proficient with MS Office Suite.
  • Accounting or bookkeeping background is a plus.
  • MUST be detailed oriented with excellent written and verbal communication skills.
  • Uses discretion, good judgment and adherence to strict confidentiality.
  • Energetic, team player with a positive, innovative approach to problem solving.
  • Goal oriented, internally motivated, and can work independently.
  • Takes initiative to utilize resources available.
  • Excellent time-management and general organization skills.
  • Possess high-level multitasking abilities and the ability to continually re-prioritize tasks.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Must be able to meet all safety requirements for applicable safety policies.



PHYSICAL REQUIREMENTS

The below statements are intended to describe the physical nature and level of work being performed by employees assigned to this classification.



  • Ability to sit/stand for 8+ hours. Prolonged periods of sitting at a desk and working on a computer.
  • Occasional walking, pushing, pulling, bending, kneeling, crouching/squatting up to 4+ hours per day.
  • Ability to lift/push/pull up to 10 lbs. constantly (67-100% of time); up to 25 lbs. frequently (34-66% of time).
  • Ability to communicate (read, write, speak) constantly (67-100% of time).
  • See with or without correction; hear with or without correction.
