We are seeking a proactive and organized Program Manager to oversee the efficient day-to-day operations necessary for the successful implementation and maintenance of our Cancer Service Line. This role will involve researching and implementing best workflow practices, prioritizing projects, building professional relationships with key stakeholders, and ensuring top efficiency in service delivery. Additionally, the Program Manager will lead project coordination efforts, manage administrative responsibilities, and supervise administrative staff. Key Responsibilities: *Research and implement efficient workflow pathways for Cancer Service Line projects. *Prioritize and manage multiple projects, ensuring successful completion within established timelines. *Cultivate professional relationships with key stakeholders. *Provide high-quality service to internal and external customers, resolving issues promptly and efficiently. *Prepare and maintain records, reports, and presentation materials. *Coordinate and assist with various projects aligned with Cancer Service Line strategic planning. *Manage the calendar and information flow for the office of the SVP of the Cancer Service Line. *Coordinate special event planning related to the Cancer Service Line. *Oversee purchases and monthly reconciliations for the office of the SVP. *Supervise and mentor administrative assistants, managing their performance and training. *Serve as a liaison for telephone calls, mail services, office supplies, and other administrative duties. *Provide oversight of fiscal administrative support, including travel authorizations and reimbursements. Essential Function: Program Management: The primary purpose of this role is to manage executive level, efficient functioning of the day to day operations necessary for implementation and maintenance of the Cancer Service Line. Researches and administratively provides best applicable workflow pathways for completing necessary projects in the building of the Cancer Service Line, including time line projections, tracking, and summary of deliverables. Prioritizes multiple issues/projects and holds responsibility for successful follow-through. Develops and maintains professional relationships with key stakeholders. Provides quality service to internal and external customers in an accurate and timely manner while ensuring top efficiency and resolution of issues. Prepares and maintains records and reports such as meeting minutes, budgets, project summaries and presentation materials. Performs duties that are diverse and advanced. Coordination of Projects: Leads the coordination of and assistance with various projects in line with strategic planning of the Cancer Service Line. Coordinates work assignments in response to requests for projects from the Cancer Service Line. Manages the calendar and all information flow to the office of the SVP of the Cancer Service Line. Coordinates special event planning for events related to the Cancer Service Line. Administrative Responsibilities: Responsible for purchases for the office of the SVP of the Cancer Service Line, including monthly reconciliations. Supervises and manages performance of administrative assistants as assigned to the office of the SVP of the Cancer Service Line, including training and mentorship. Here's a breakdown of the responsibilities and expectations for this role: Supporting CSL Growth: The Program Manager plays a crucial role in supporting the growth initiatives of the CSL. This involves strategic planning, development, coordination, and implementation of various aspects of the Cancer Service Line. Ensuring Patient and Provider Satisfaction: One of the key objectives is to ensure high levels of satisfaction among both patients and healthcare providers involved in the Cancer Service Line. This includes optimizing processes to enhance patient care experiences and ensuring that healthcare providers have the necessary support and resources. Increasing Clinical Trial Participation: A significant focus area is to increase the number of patients participating in clinical trials offered by Massey Comprehensive Cancer Center. This requires collaboration with different stakeholders to streamline processes and improve access to clinical trials across the 12 disease-focused Cancer Programs. Business and Administrative Support: The Program Manager will provide essential support for the business and administrative functions of the Cancer Programs within the CSL. This includes financial oversight, resource allocation, and operational management to ensure efficient functioning of these programs. Reporting Structure and Collaboration: The role reports to the Senior Director (Operations), Cancer Service Line, under the direction of the Senior Vice President (SVP) of Massey's Cancer Service Line. Collaboration with the CSL Senior Medical Director is also crucial to align clinical strategies with operational goals. Disease-Focused Cancer Programs: The Cancer Service Line encompasses 12 disease-focused Cancer Programs, each specializing in different areas such as breast cancer, cellular immunotherapies and transplant, endocrine cancers, gastrointestinal cancers, genitourinary cancers, gynecologic oncology, head and neck cancers, hematologic malignancies, melanoma, neuro-oncology, sarcoma, and thoracic cancers. The Program Manager will support the planning and development specific to these programs.
