About the Position

The Administrative Specialist provides a variety of specialized clerical and administrative duties for the Food Services Division in the Maricopa County Sheriff's Office. This role performs tasks that are often complex or sensitive in nature and may be required to interpret operating procedures and policies of the work unit to food service staff.

Position Qualifications

Education

  • High School Diploma or GED

Experience

  • Two (2) years of experience performing office, administrative and clerical duties.

OR
Combined education and experience qualifications

  • Post-secondary education may substitute for therequiredexperience on a year-for-year basis.

Other Requirements
Training with the exception of Arizona driver's license to be provided on-the-job:

  • FEMA NIMS - IS100 AND 700
  • OSHA training
  • PREA training
  • Must possess or have the ability to obtain a valid Arizona driver's license at time of hire.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass an extensive background review.

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Prepares, processes and reviews specialized paperwork, forms, letters, and memos for the Food Services Division; ensures accuracy and completeness.
  • Handles vendor invoice payments.
  • Creates, updates, and maintains moderately complex spreadsheets, databases, and reports (e.g., office budget, vehicle inventory, personnel lists, property inventory, personnel files); tracks and provides follow-up.
  • Compiles monthly reports and records for Division expenditures.
  • Maintains calendars and schedules activities.
  • Provides administrative support with time entries into the Workday payroll system, prepares final timecard reports and overtime reports.
  • Provides information, instruction, and assistance to employees, the public, and other agencies; responds to complaints.
  • Trains and directs the workflow of Office Assistants in the Food Services Division.
  • Inventories, orders, and stocks supplies.
  • Attends meetings, documents information, generates reports, and distributes to appropriate personnel.
  • Performs additional duties and projects as assigned.

Work occurs primarily indoors working in MCSO jail facilities with various staff and all classifications of inmates.

SELECTION PROCEDURE:

The hiring authority will select the successful candidate based on departmental needs.

Typically, successful candidates are hired at a salary rate, up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.
