The Executive Administrative Assistant serves as office manager and is responsible for facilitating the efficient and effective operations of the Office of the Chancellor, providing a high level of customer service to all stakeholders. Reporting to the Executive Coordinator to the Chancellor, this position supports the Office of the Chancellor by ensuring effective and accurate scheduling, communication, and meeting/event logistics. The ideal candidate will demonstrate excellent interpersonal and communication skills, and the ability to exercise discretion and independent judgment in the efficient management of an executive office in support of the Chancellor and senior leadership.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

  • Ability to represent the Office of the Chancellor with confidence, conviction, and professionalism.
  • Exceptional interpersonal skills and the ability to interact effectively with a wide range of constituents including senior leadership, presidents, faculty, staff, Board members, and industry partners.
  • Exceptional computer and organizational skills to track documents, manage budgets, maintain governance group membership lists, schedule internal and external meetings, and coordinate schedules.
  • Ability to set a calm and professional tone.
  • Willingness to be proactive and take initiative when appropriate.
  • Ability to work with highly confidential information.
  • Exercises discretion and good judgment at all times.
  • Willingness to see tasks to completion, sometimes necessitating working longer than normal hours or on weekends.
  • Proficiency with communication, word processing, spreadsheet, and presentation software.
  • Ability to become proficient in the use of state procurement tools.
  • Skill in editing, proofreading and drafting letters, presentations and other routine correspondence.
  • Proficient with the use of social media, including but not limited to Twitter and LinkedIn, in a professional setting.
  • Coursework completed in office management, business administration, finance or a similar field
  • Experience with Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, Teams), additional presentation software such as Canvas, and web-based computer applications for scheduling, conducting virtual meetings and completing other administrative duties
  • Experience in operational responsibilities with proven record of success
  • Experience working in higher education, state government or other non-profit organizations.
  • Experience supporting a C-suite executive or senior company leader.

Additional Considerations

  • Knowledge of agency, VCCS and state programs, policies and procedures
  • Experience utilizing technology, such as artificial intelligence, to increase efficiency.
  • Experience with developing and preparing social media posts, talking points, presentations, and routine business communications.
