Job Description:

POSITION SUMMARY

The Executive Assistant plays a crucial role in providing both strategic and administrative support to the President, CEO, and Senior Leadership Team. Acting as a trusted advisor, this individual will drive key initiatives, enhance operational efficiency, and ensure seamless communication across leadership. The ideal candidate is a resourceful problem solver with outstanding organizational, interpersonal, and leadership abilities. As an adjunct member of the Senior Leadership Team, the successful candidate will live the Veit Way and serve as a strong brand ambassador.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Oversee and coordinate executive-level projects, ensuring alignment with business goals and timely execution.

  • Manage complex calendars, scheduling, and travel logistics for the President, CEO, and Senior Leadership Team.

  • Manage relationships with our travel partners continuously seeking efficiency and cost saving opportunities.

  • Financial and Travel Oversight: Manage reimbursements, travel card reports, and other financial processes for members of the Senior Leadership Team, and company owners.

  • Act as a liaison between the Senior Leadership Team and internal/external stakeholders, ensuring effective communication and follow-through on key initiatives.

  • Prepare executive-level reports, presentations, and correspondence, ensuring clarity and professionalism.

  • Attend leadership meetings, create and coordinate agendas, document discussions, capture meeting minutes, and ensure action items are tracked and followed up on.

  • Lead special projects and process improvement initiatives to enhance operational efficiency.

  • Maintain a high level of confidentiality and handle sensitive information with discretion.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Bachelor's degree in Business Administration, Management, or a related field.

  • 7+ years of experience in an executive support or chief of staff role, preferably within construction, engineering, or related industries.

  • Strong organizational and project management skills with the ability to multitask in a fast-paced and dynamic environment.

  • Excellent written and verbal communication skills, with a keen attention to detail.

  • High level of discretion and professionalism in handling confidential information.

  • Ability to anticipate needs, think critically, and offer solutions to problems with a high degree of autonomy.

  • Experience in event planning, including managing logistics, technical needs, and communications for high-profile meetings and events.

  • Proficiency in Microsoft Office Suite, and executive-level reporting.

Additional Job Description:

Base Compensation: $75,000 - $93,000

The base salary range may vary depending on geographic location, applicant skills, and prior relevant experience.
