Advancement Coordinator, Center for Integration Science in Global Health Equity

Directed by Dr. Gene Bukhman, the Center for Integration Science (CIS) in Global Health Equity develops, implements, and evaluates integrated care delivery models to address neglected health issues in highly constrained health systems. The most prominent of those models is PEN-Plus (the Package of Essential Noncommunicable Disease Interventions - Plus). PEN-Plus is a proven integrated healthcare delivery strategy for delivering complex care to people living with such conditions as type 1 diabetes, sickle cell disease, and rheumatic and congenital heart disease in rural sub-Saharan Africa and South Asia.
The CIS is part of the Harvard-affiliated Brigham and Women's Hospital (BWH) and works closely with the Department of Global Health and Social Medicine at Harvard Medical School. The CIS is also the World Health Organization's Collaborating Center for Integration Science and Service Delivery. It further serves as one of two co-secretariats for the 22-country NCDI Poverty Network, as well as its strategic initiative, the global PEN-Plus Partnership.
To accomplish its ambitious mission, the CIS provides technical, policy, advocacy, and financing support for national NCDI Poverty Commissions in Network countries as they progress through a four-phase theory of change. This theory of change starts with situation analysis and ultimately leads to the implementation of PEN-Plus at a national scale
The Advancement Coordinator plays a pivotal role driving the effectiveness and efficiency of the seven-person Advancement team, which oversees CIS' communications, advocacy, and partnerships. The Advancement Coordinator will report directly to the Senior Director of Advancement. Working closely with the Senior Director and Senior Coordinator, she/he will build and manage robust systems and processes for seamless constituent management and internal and external communication with key audiences; and ensure the smooth operation of the overall team. The person in this role will have the opportunity to learn the fundamentals of nonprofit communications and fundraising, and interact with some of the leading visionaries and organizations in global health.

Principal Duties and Responsibilities:

Team Administration

  • Serve as primary liaison for Advancement team with CIS' business management team, developing a strong working knowledge of relevant BWH/MGB policies and processes.

  • Support the Senior Director with scheduling, travel, and expense reporting

  • Support the Advancement team with scheduling large group meetings, meeting logistics (recording, sharing presentations, waiting room management), copyediting, note-taking, and other administrative tasks as assigned

  • Manage organization of the Advancement team's file infrastructure and team tools.

  • Identify and suggest new approaches to team administration and organizational norms, in support of continuous quality improvement of team systems and efficiency.

Data Management & Technology

  • Establish a strong working knowledge of CIS' constituent database; email marketing system; translation tools; and webinar platforms. Implement these tools for CIS-hosted meetings and communications.

  • Support routine data hygiene efforts; manage a regular cadence of list pulls, review, and revisions to ensure overall accuracy of the CIS constituent database

  • Ensure accurate and comprehensive data entry for new contacts and organizations of interest to CIS

  • Identify where technology tools can automate administrative and data management workflow, where appropriate

Partner and Donor Support

  • Draft emails and agendas for partner/donor-facing communications.

  • Adapt pre-existing collateral for different donors/partners, as assigned

Qualifications:

Required

  • At least 2 years' experience working in an administrative and/or program coordination capacity

  • Experience with CRM/database management

  • Proficient in MSOffice suite, particularly Excel and PowerPoint; comfortable with integrating enterprise technology into work processes

  • Attention to detail and a strategic thinker. Demonstrated ability to connect detailed work with the bigger picture and adjust accordingly

  • Strong communicator, both verbal and written

Preferred

  • Experience working with fundraising and/or communications teams and projects

  • Familiarity with the NCD and global health space

  • MPH or other related graduate-level training
