Major Responsibilities:

1. Creates, maintains, updates , and publishes schedules for approximately 200 providers (physicians and CRNAs) across 65 locations at multiple campuses. Continuously remodels schedule to accommodate department expansion and development of new roles and business practice sites.
2. Collaborates with Department leaders at various sites to coordinate schedules that ensure continuity of care for patients and promote provider well-being.
3. Maintains a database of types of shifts (weekends, triage shifts, back up shifts, holidays, etc.) per full-time equivalent (FTE) by provider to ensure scheduling is equitable throughout the department and adheres to current scheduling rules.
4. Tracks APP paid time off in reporting tools and serves as the liaison with clinical providers to communicate PTO balances.
5. Maintains a variety of detailed reports to be utilized for compensation plans, physician bonuses, and other key metrics within assigned areas. Tracks Department and individual provider quality/performance.
6. Maintains , updates, and publishes scheduling guidelines for the Physicians and APPs and provides guidance on the use of the scheduling software.
7. Addresses questions and concerns from providers via phone, email, or personal meeting regarding hours tracking, day-off requests, moonlighting, etc.
8. May be responsible for coordinating the credentialing process with Medical Staff Office.
9. Coordinates new provider onboarding to include computer access, Epic training, administrative orientation, obtaining badges and white coats, and ensuring adequate clinical shadowing time at each campus. Assigns/resets scheduling software passwords.
10. Ensures accurate recording and timekeeping for clinical and school payroll systems. Works with department payroll staff to properly compensate holiday weeks and regular weeks. May perform other administrative tasks related to payroll processing.
11. Tracks shifts to ensure adherence with scheduling practices. Ensures shifts, per diem coverage, and paid time off are accurately entered into time and attendance system.
12. Manipulates large amounts of complex data within various Excel spreadsheets and utilizes complex Excel formulas/functions to manage this data.
13. Prepares, reviews, and summarizes data and metrics to include charts, tables, and graphic representations as needed.
14. Reviews and recommends improvements in systems and procedures.
15. Participates in projects as needed. Participates as back up to other departmental administrative functions as needed.

Position Qualifications:
License/Certification/Education:
Required:
1. High school degree.

Preferred:
1. Associate's degree in healthcare systems.

Experience/Skills:
Required:
1. 2 years managing complex healthcare schedules, preferably within an anesthesia department.
2. Advanced skills in Excel (including complex formulas and pivot tables) and proficiency in MS Office applications.
3. Excellent interpersonal, analytical, and organizational skills.
4. Ability to interact with multiple levels of hospital management and foster working relationships.
5. Ability to work independently, take initiative, analyze, and solve problems.

Preferred:
1. Experience in the manipulation and review of large volumes of data.
2. 3-5 years Qgenda software experience.
3. 3-5 years EPIC experience.

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
