Essential Job Duties
This position supervises and guides the reservations team responsible for managing reservations, client communications, and event logistics for university and non-university clients. They serve a key role in processing reservations and event requests (virtual, in-person, e-mailed) from student organizations, University departments, and non-university groups for Talley Student Union,Witherspoon Student Center, Harris Field, Stafford Commons, and other outdoor locations.

Duties include but not limited to:

  • Develops and implements operational strategies for handling reservation requests and managing event services.
  • Prioritize requests based on event size, complexity, and venue requirements.
  • Confirms existing reservations with clients prior to events.
  • Meets with clients for complex events to determine event setup and audio-visual needs.
  • Coordinates event services with other campus partners, including but not limited to catering, streaming/recording, security, transportation, fire and life safety, insurance and risk management, grounds, etc.
  • Serves as the key point of contact in the department for Emergency Management and Mission Continuity on high risk events and day of risk mitigation.
  • Determines event staffing needs based on the NC State Student Center's guidelines and event complexity.
  • Coordinates with Building Services regarding housekeeping, maintenance, loading dock, and information services.
  • Coordinates with Catering regarding setup and access to event space.
  • Responsible for hiring, training, scheduling, and evaluation of the staff member.

  • Model the Division's mission and values, introduce the Division's mission and values to the employees, and foster a positive, cohesive workplace and congeniality among co-workers.
  • Understand the goals and culture of the organization, and understand how employees' work activities, teamwork, and customer service impact clients.
  • Work with your supervisor and colleagues to understand these goals and the culture.
  • Adhere to all University policies, procedures, and regulations, and Division standard operating practices and protocols.
  • Perform other duties as assigned to ensure Student Centers business needs are met.

Qualifications


Minimum Experience/Education

Graduation from high school and two years of progressively responsible administrative/office management experience; including some experience as a lead worker; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Knowledge of office management techniques and familiar with office technologies with the ability to learn additional software.
  • Strong written and verbal communication skills to effectively communicate with customers, peers and supervisors; and professionally communicate with multiple levels of employees within the University.
  • Must follow written and verbal instructions.
  • Must have excellent public interaction and provide outstanding customer service, including the ability to remain professional and respectful under pressure when dealing with difficult situations, to team and customers.
  • Excellence in completing all tasks and performance goals.
  • Ability to set priorities.
  • Ability to work independently in a high stress, fast-paced environment with strict deadlines.
  • Ability to exercise judgment and apply policies and procedures, ability to establish and maintain effective working relationships with staff, management and the public.
  • Required to be proficient with the use of a computer and have the ability to learn new software.
  • Team environment oriented.

Preferred Qualifications

  • Experience working in a University setting.
  • Experience with event planning.
