Job Overview

As one of the oldest medical schools in the country, the UC College of Medicine has a reputation for training best-in-class health care professionals and developing cutting-edge procedures and research that improves the health and clinical care of patients.

The College of Medicine, Dean's Office is looking for a full-time Assistant To who will assist in the planning and coordination of specialized and complex administrative and operational activities to implement major changes as deemed necessary.

The Assistant To should have strong organizational skills, exceptional communication abilities, proficiency in administrative tasks such as calendar management, document handling, attention to detail, ability to prioritize multiple tasks and a collaborative attitude to effectively support the Senior Vice President for Health Affairs and Dean of the College of Medicine; the Executive Director and Senior Associate Deans as needed.

The ideal candidate will have excellent verbal and written communication skills to interact with various stakeholders, such as those listed above and the College of Medicine Department Chairs, faculty, staff, students, visitors and constituents. Must have the ability to clearly and concisely convey information to those listed above, maintain professional phone etiquette and interactions with visitors and guests, and must have a positive and professional demeanor.

Another priority for this position will be classroom/room scheduling for the College of Medicine.

Essential Functions

  • Evaluate, develop and implement specialized operating policies and procedures needed in the administrative office.
  • Research and analyze methods, procedures for identifying problems of a specialized nature and implement changes along with the Executive Director.
  • Responsible for assisting with and monitoring Administrative office financial expenditures and develop budget requests as necessary with Executive Director.
  • Represent administrator at internal and external committee meetings on subjects of considerable complexity as needed.
  • Identify programmatic, operational and system problems and implement solutions.
  • Commitment to provide excellent service to internal and external constituencies.
  • Perform related duties based on departmental need. This job description can be changed at any time.

Required Education

  • Bachelor's Degree.
  • Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

Three (3) years of relevant work experience.

Physical Requirements/Work Environment
  • Office environment/no specific unusual physical or environmental demands.
