About the Department:

Within the Office of the Dean of Libraries and University Librarian, the "Administration" unit, led by the Assistant Dean for Administration, advances the University Libraries' goals and plan by fulfilling a broad range of administrative functions for the University Libraries (on the Fairfax, Mason Square, and Science & Technology campuses). Within the Administrative Services division, the Human Resources department directs and supports holistic human resources programs. About the Position:

George Mason University Libraries is seeking a hybrid, part-time (20-29 hours per week) non-student wage assistant to support the Administrative Services Division with daily operations related to budget and finance and other administrative activities. This role reports to the Fiscal Coordinator and assists in advancing the strategic goals of the University Libraries by supporting essential administrative functions in a diverse, inclusive, and academically enriching environment. Responsibilities:

Alignment Of Budgets and Expenses:



  • Works with the Fiscal Coordinator to enter corrections in the ERP system and other templates to align budget and expense as directed.
  • Maintains accurate records for tracking and reporting, fulfilling all documentation requirements at each stage. Supports the maintenance and organization of financial documentation to ensure compliance and accuracy providing assistance in the production, routing, and tracking of various financial forms.


Commitment Tracking and Documentation Management:



  • Works closely with the Fiscal Coordinator to input commitments into the internal tracking lists. Proactively gathers and files documentation and information for each transaction.
  • Tracks professional development requests and completed transactions against fiscal year allotment for library employees in coordination with the Assistant Dean for Administrative Services, ULib Human Resources, and the Fiscal Coordinator.


Financial Reconciliation and Reporting:



  • Works closely with the Fiscal Coordinator to pull and refine reports for customers including, but not limited to, reconciliation, position control, monthly reviews with Assistant Dean for Administration, and commitment tracking reports etc. Researches issues as assigned and disseminates information in a timely manner. Proactively notates discrepancies and raises them to the Fiscal Coordinator for review/action.


Additional Duties:



  • Completes other tasks as assigned, contributing to the overall financial and administrative effectiveness of the division.


Required Qualifications:



  • High school diploma/GED;
  • Willingness to learn with the ability to manage multiple priorities;
  • Strong listening and comprehension skills;
  • Strong organizational skills with an ability to manage information from multiple sources;
  • Strong attention to detail;
  • Intermediate to advance MS Office skills in Teams, Word, Excel, and PowerPoint;
  • Basic experience using Adobe for editing documents;
  • Ability to follow and interpret rules and policies;
  • Ability to maintain harmonious working relationships with a population of diverse individuals; and
  • Ability to maintain confidentiality.


Preferred Qualifications:



  • Knowledge of Ellucian Banner and MicroStrategy;
  • Experience creating and manipulating Adobe Acrobat pdf files; and
  • Experience working on a hybrid team.
