Job Summary
The Senate Administrative Coordinator plays a vital role in ensuring the smooth operation and accurate record-keeping of Senate activities. This position involves maintaining and updating key information, providing technical and logistical support, and coordinating communication across various platforms and stakeholders. The ideal candidate is detail-oriented, organized, and skilled in digital tools and collaborative environments.
Essential Functions
Website Management:

  • Regularly update the Senate website by posting agendas, minutes, and recordings.
  • Ensure the accuracy of committee rosters and other published information.


Membership Coordination:

  • Collaborate with the Salesforce team to maintain accurate Senate membership and committee rosters.
  • Ensure updates are communicated effectively and implemented promptly.

Data Archiving and Migration:
  • Assist in preparing archive data for migration to a new website platform.
Record Keeping:
  • Maintain accurate records of Acts of the Senate.
Meeting and Event Support:

  • Provide technical support during Senate and Faculty meetings, including managing presentation slides, Zoom sessions, and access to the Senate Canvas site.
  • Prepare meeting attendance lists and other materials as needed.
  • Support events such as the annual Senate Orientation and state/national Senate conferences.

Administrative Transition:
  • Coordinate the annual transfer of information from the Senate Secretary to the Secretary-Elect.
Communication and Invitations:
  • Ensure that all relevant participants are invited to specific meetings.
General Administrative Support:
  • Provide additional support to the Senate Secretary as needed and other duties as assigned.
This position may require occasional evening or weekend work to support Senate meetings or events.
Minimum Qualifications

  • Strong organizational and communication skills.
  • Proficiency in or a willingness to learn website management and collaborative digital tools (e.g., Salesforce, Canvas, Zoom).
  • Ability to manage multiple tasks and meet deadlines.
  • Experience in event coordination and record-keeping is a plus.

Salary Range $20.00 per hour
Work Hours Typically 7:45-4:45 Monday through Friday. However, this position may require occasional evening or weekend work to support Senate meetings or events.
