General Position Description

We are looking for an ambitious Office Administrator to perform a variety of administrative and clerical tasks ensuring the efficient and smooth day-to-day operation of our office. To be successful in this role, you should have excellent organization skills along with the ability to prioritize tasks and meet deadlines. You should also be an effective communicator who speaks clearly and is personable and welcoming.

Responsibilities



  • Manage and route phone calls appropriately
  • Greet and provide general support to visitors
  • Schedule in-house and external meetings and prepare agendas
  • Order lunches, reserve and confirm restaurant reservations for Senior staff, set up conference rooms and book external company gatherings
  • Organize and schedule appointments/maintain multiple calendars
  • Open, scan and distribute incoming mail. Receive and distribute package deliveries
  • Manage and order office supplies, maintain equipment and research new suppliers
  • Maintain a clean office environment that is well stocked and organized
  • Assist with candidate and Senior Leadership travel arrangements
  • Liaise with building management company and staff. Coordinate furniture repairs as needed
  • Maintain and manage floor plan. Work with visiting employees to accommodate space needs, reserve offices and meeting rooms. Turn over cubes / offices when vacated
  • Provide data entry assistance to Payroll team
  • Provide data entry assistance to HR team
  • Assist accounts payable with weekly check run
  • Set up vendors and employees in applicable databases
  • Issue and maintain P-cards
  • Assist colleagues whenever there is an opportunity to do so
  • Other duties as assigned


Qualifications



  • Proven experience as an Office Administrator, Administrative Assistant, or Office Admin Assistant
  • Familiarity with common procedures and basic account principles used in the office
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Ability to adapt to changing environments and demonstrated commitment to delivering exceptional customer service and meeting customer needs
  • Outstanding ability to communicate in person, in writing and over the phone
  • Strong organizational skills with the ability to multi-task
  • High School Diploma; additional qualification in Office Administration or Administrative Assistant will be a plus
